Job Purpose
The Receptionist – Band Hall serves as the first point of contact for Saulteau First Nations community members, guests, visitors and staff. This position provides a warm and welcoming environment, responds to inquiries in person, by phone and email, and directs individuals to the appropriate department or staff member.
This is a full-time term position providing maternity and parental leave coverage, with an anticipated start date of November 9, 2026, and an anticipated end date of July 6, 2028. The start and end dates may be adjusted based on operational needs and the incumbent’s actual leave and return-to-work dates.
The Receptionist also provides administrative support, processes payments and transactions, maintains front desk records and inventory, and supports the efficient day-to-day operation of the Band Hall.
Duties and Responsibilities
Reception Services:
- Greets community members, visitors and staff in a welcoming and professional manner and ensures they receive appropriate assistance.
- Answers and directs incoming phone calls and emails to the appropriate department or staff member.
- Responds to inquiries and provides information or assistance within the scope of the position.
- Maintains positive and respectful relationships with community members, visitors and staff.
- Monitors access to restricted areas and follows established security procedures.
- Books facility meeting rooms and the gym,
ensuring booking details and contact information are accurately recorded.
- Advises the Director of Programs & Services of any issues, concerns or facility requirements.
- Performs general clerical duties, including word processing, filing, record keeping, photocopying and scanning.
Administrative Duties:
- Orders office supplies and consumables as directed and within the allocated budget.
- Manages cigarette inventory, including sales and placing orders.
- Manages and maintains inventory of snack items at the front desk.
- Operates the point-of-sale system and cash register, balances cash and prepares required reports for Finance.
- Creates service tickets for Fibre to the Home.
- Collects rent, Fibre to the Home payments and other approved payments from community members and staff, accurately records transactions and issues receipts.
- Releases cheques to clients and suppliers and maintains the cheque log.
- Reviews documents and transactions for accuracy and identifies and corrects discrepancies as required.
- Maintains and secures Purchase Orders issued by Finance for sign-out.
- Ensures the front desk area is secure, including safeguarding supplies, cheques, Purchase Orders, cash and confidential information.
- Performs other related duties as required.
Ideal Qualifications and Experience
- Grade 12 or equivalent.
- Minimum six months of experience in a receptionist,
administrative or customer service role.
- Knowledge of general office administrative processes and procedures.
- Experience handling cash, processing payments and completing financial transactions is an asset.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
- Valid BC Driver’s Licence and access to a reliable vehicle for work-related duties.
- Satisfactory Criminal Record Check, including Vulnerable Sector Check.

- Ability to handle confidential and sensitive information with discretion and sound judgement.
- High level of integrity when handling money, cheques and financial transactions.
- Strong organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Ability to manage multiple priorities and meet deadlines.
- Ability to remain organized and professional in a busy front desk setting.
- Ability to understand and follow SFN policies and procedures.
- Knowledge of Saulteau First Nations community, history, traditions and culture is an asset.
Work Conditions
- Work is performed primarily at the Saulteau First Nations Band Hall.
- Manual dexterity is required to use a desktop computer and other office equipment.
- Travel may be required within Saulteau First Nations and surrounding communities.
- Occasional lifting or moving of items up to 25 lbs may be required.
- Wage Range for this position is $22.02-$24.12 / Hr
