Oakville, ON, in-office. $OFFICE COORDINATOR Oakville, ON (fully in-office) Type of Employment: Full-Time, Permanent Our client is an established general contractor, design-builder, and construction manager delivering commercial construction projects across the GTA. Known for quality work and a relationship-first approach, they run a small, high-energy, close-knit head office team where people are trusted to own their roles and grow with the business.
The Office
Coordinator is the first face of the business — seated at the front of the office, greeting clients, visitors, and candidates, and setting the tone for the day. Beyond reception, this is a genuine coordination role: you'll be the connective tissue between the head office, external consultants, and project sites, keeping the day-to-day running smoothly. Reporting to the HR Manager,the role also offers a clear pathway into HR for the right person — over time, responsibilities can grow to include training coordination, appraisal support, and involvement in recruitment.
Open the office each morning and own the daily routines that keep the workplace running consistently and professionally Serve as first point of contact at reception — welcoming clients, visitors, and interview candidates in a warm,
polished manner Act as liaison between the office and external service providers, including IT consultants and health and safety consultants Coordinate staff training, including health and safety training and training records Support fleet administration and coordination Manage office services and vendors (telephone lines, supplies, and general facilities needs) Provide coordination support to site superintendents across multiple project sites and site trailers General office administration, correspondence, and meeting support Assist with HR-related tasks as capacity and interest allow, such as onboarding, annual appraisal administration, and (for candidates with an HR background) pre-screening of applicants Approximately 5+ years of office coordination or administration experience Excellent communicator, both in person and over email, with a presentable, approachable front-of-office presence Exposure to the construction industry is an asset but not required — the setting is straightforward to pick up HR education or exposure is a strong asset and opens the door to expanded responsibilities Proficient with Microsoft Office This is a fully in-office role. Location & Travel The role includes coordination support across the organization's project sites. #
