Wanes Custom Woodworks is a commercial architectural millwork company in Burnaby. We are looking for an organized and dependable person to support our office, project and production teams.
This is not a receptionist role. We are looking for someone who enjoys making sure details are correct, information is organized, follow-ups happen, and the people around them have what they need to keep work moving.
The position combines administration, purchasing, project documentation and practical production support. You might be matching an invoice to a PO in the morning, following up on a long-lead material, submitting shop drawings or an RFI, and making sure late-arriving hardware gets to the correct Work Order before the day is done.
Responsibilities
- Finance & job-costing support: Verify timekeeping records; match invoices, packing slips and POs; enter material and subtrade costs against the correct jobs.
- Purchasing & materials: Source products and materials, obtain pricing and lead times, prepare POs, track orders and follow up with suppliers.
- Project documentation: Prepare and track RFIs, shop-drawing submissions and other project information; keep drawings, revisions, approvals and folders organized.
- Samples & submittals: Coordinate sample requests, label and photograph samples, maintain records and prepare submissions.
- Production support: Help prepare Work Orders, organize paperwork and hardware, check incoming materials, replenish designated stock and get late-arriving items where they belong.
- General administrative support: Help keep office and production information organized and take ownership of the small details that prevent larger problems.
You May Be a Good Fit If You
- Are highly organized and naturally follow things through to completion.
- Notice errors, missing information and inconsistencies—and do something about them.
- Are comfortable working with numbers, documents and detailed information.
- Can communicate professionally with suppliers, customers and coworkers.
- Are willing to learn about drawings, materials, hardware and construction terminology.
- Are comfortable working in both an office and manufacturing environment.
- Take ownership of your commitments and communicate early when something is unclear or at risk.
Experience Experience in administrative coordination, purchasing, accounts payable, project support, document control or material coordination would be valuable.
Experience in construction, manufacturing, millwork, cabinetry or another project-based environment is an asset, but not required.
You should be comfortable with Microsoft Office, particularly Outlook and Excel, electronic filing systems and learning new software.
