- Provide administrative and operational support to the Shared Services team and the Professional Resources group
- Support talent management, recruitment, onboarding, and performance management and evaluation processes
- Track and ensure the timely completion of tasks and deliverables using a reminder system
- Coordinate and manage meeting and event logistics
- Prepare, organize, and maintain confidential files, records, and related documents
- Support team projects, special initiatives, and day-to-day activities
- Update and maintain MT Academy’s learning management system
- Track attendance, maintain program information, and create or revise invitations
- Manage shared inboxes and respond promptly to inquiries
- Organize MT Academy meetings, including agendas and minutes
- Prepare program plans, reports, and tracking spreadsheets
- Update communications templates in French and English
- Contribute to the development of tracking protocols and systems
- Update the Firm’s intranet and create new pages and resources
- Coordinate the payment of invoices, fees, registration fees, and other expenses
- Assist with translating and proofreading communications, documents, and resources
- Perform other duties and special projects as requested

Requirements

- Post-secondary diploma
- Fluency in English and French is required
- At least three years of administrative experience
- Experience in a law firm or other professional services workplace is preferred
- Experience with Workday is a strong asset
- Strong organizational skills and excellent spelling, grammar, and proofreading abilities
- Excellent oral and written communication skills

- Demonstrated ability to multitask and communicate effectively with members of the Firm at all levels
- Excellent time-management and planning skills

- Ability to handle confidential information with tact and discretion
