Position Summary The Billing and Data Entry Specialist is responsible for the accuracy and timeliness of resident billing, and for coordinating the daily flow of prescription data entry across the remote and onsite team at a pharmacy exclusively servicing retirement homes. This role is central to correct invoicing, complete account documentation, and the prioritization of daily order processing, and requires close attention to detail and clear communication with residents, powers of attorney, home staff, and the pharmacist team.
Key Responsibilities
Billing Portal & Statements
- Oversee the Dominion Billing Portal and automated monthly statement generation.
- Maintain customer profiles, including email addresses for statements and customer-specific instructions.
- Print and distribute paper statements where requested.
- Provide detailed invoices from Kroll as requested.
- Review monthly invoices in Kroll and adjust on the portal as required.
- Reconcile non-medication and front shop purchases with customer accounts monthly.
Billing Administration & Accounts Receivable
- Communicate with residents and powers of attorney by email and telephone to assist with account setup on the portal, questions about billing, and any other related matters.
- Review accounts receivable and reach out to residents and powers of attorney as needed.
- Manage and perform weekly batch billing in Kroll for all accounts, with assistance from other team members as required.
- Resolve billing issues in Kroll with assistance from the eMAR/Kroll Solutions Specialist and application support.
Data Entry & Workflow Coordination
- Work with the remote and onsite data entry team to process orders on a daily basis and prioritize workflows.
- Communicate with the data entry and pharmacist team via Teams to ensure workflow prioritization and distribution.
- Assist with bulk data entry for recent homes as needed.
- Implement and maintain proactively scheduled refill cycles for non-strip (bulk) medications.
- Coordinate six-monthly medication reviews for all homes and physicians to ensure refill compliance.
Special Projects
- Participate in eMAR integration and implementation projects, such as data test downloads and data verification.
- Complete other data entry projects in Kroll and eMAR as assigned.
Working Conditions & Physical Requirements
- Fast-paced, high-volume pharmacy environment with repetitive tasks requiring sustained attention to detail.
- Extended periods of computer and data entry work.
- Frequent contact by email and telephone with residents, powers of attorney, retirement home staff, and physicians.
- Coordination with remote team members across differing schedules.
- May require occasional travel to local retirement home sites.
Qualifications & Skills
Education & Experience
- Minimum 2 years of experience in a pharmacy setting, preferably in a long-term care or retirement home servicing pharmacy.
- Advanced proficiency in Kroll pharmacy software, including billing and adjudication.
- Experience with pharmacy billing, invoicing, and accounts receivable.
- Experience with eMAR systems (PointClickCare, Yardi) is an asset.
- Proficiency with Microsoft Teams, Outlook, and Excel.
- Pharmacy Assistant/Technician Diploma Preferred
