Bookkeeper & Practice Administrator – Part-Time

About the Position
Fresh Dental and Gloss Dental are busy, well-established dental practices in Campbell River, and we are looking for an experienced, organized and dependable Bookkeeper & Practice Administrator to join our team.
Our long-time administrator is retiring. One of our current team members will be taking on a portion of these responsibilities, and we are looking for another excellent person to work in partnership to manage the bookkeeping, payroll and business administration needs of our practices.
We see this as a collaborative position. Rather than having a rigid division of responsibilities from day one, we would like to build the roles around the strengths, experience and interests of both people, while ensuring everything is well covered.
We are hoping to find the right person soon, allowing plenty of time to work alongside our retiring administrator, learn our systems and have a smooth transition.
What You’ll Be Doing
Responsibilities will be shared and will include:
- Bookkeeping for multiple companies using Sage
- Accounts payable and accounts receivable
- Bank, credit card and merchant account reconciliations
- Processing deposits, cheques, EFTs and other banking transactions
- Monitoring accounts and assisting with collections and write-offs
- Processing bi-weekly payroll through Payworks
- Maintaining payroll and HR records
- Administering employee benefits
- Maintaining employee onboarding and offboarding documentation
- Reviewing staff scheduling and timekeeping information for payroll
- Auditing ClearDent production and financial information
- Preparing and processing associate dentist payments
- Preparing month-end financial information and reports
- Reconciling ClearDent information with Sage
- Preparing T4 information and other annual payroll documentation
- Completing WorkSafeBC and Employer Health Tax reporting
- Preparing information and documentation for year-end
- Working directly with our accountants and providing information as required
- Maintaining organized electronic financial and business records
- Assisting with insurance, vendors, building maintenance and other business administration
- Ordering office and administrative supplies as required
- General administrative support for the practices and practice owner
The exact division of responsibilities will be determined together based on the experience, strengths and interests of the two people sharing the role.
Who We’re Looking For
We are looking for someone who is trustworthy, accurate, organized and comfortable taking ownership of their responsibilities.
The ideal candidate will have:
- Previous bookkeeping, accounting, payroll and/or business administration experience
- Experience with reconciliations and maintaining accurate financial records
- Solid attention to detail
- Excellent organizational and time-management skills
- The ability to work independently and collaboratively
- Confidence learning and working with different software systems
- Excellent judgment and discretion when handling confidential financial and employee information
- A friendly, professional communication style
- Have a positive, practical, “how can I help?” approach
- Be interested in becoming a long-term and valued member of our team
- An interest in a stable, long-term position
Dental Experience Is a Strong Asset Previous experience in a dental office will be strongly considered an asset, particularly experience in:
- Dental reception
- Dental administration
- Dental bookkeeping
- Accounts receivable or insurance administration
- ClearDent or another dental practice-management system
If you have worked in dental reception or administration and are interested in moving into a more behind-the-scenes bookkeeping and business administration role, we would especially love to hear from you. Experience with Sage, Payworks and/or ClearDent is an asset, but we are happy to provide training to the right person.
