We are seeking a dedicated and detail-oriented, full time Events Coordinator to join our Events Team. Supporting the Event Services Supervisor, and working closely alongside our other Events Coordinator, you’ll play a pivotal role in creating memorable experiences for our members and employees by planning, organizing, and executing a wide range of events at both The Glencoe Club and Glencoe Golf & Country Club. In this role, you’ll coordinate the many details that bring an event together – from initial planning and stakeholder communication, through to logistics and execution – all while meeting or exceeding client expectations throughout the process.

Responsibilities:
- Coordinate the planning and execution of a diverse range of events, including corporate meetings, celebrations of life, social gatherings, and internal sports league events
- Bring creativity and fresh ideas to the planning and execution of member-focused Club events, including Mother’s Day, Stampede, Christmas, and other signature celebrations
- Serve as a key point of contact for members and employees throughout the event booking and planning process, providing responsive, personalized, and attentive service event inquiries, ensuring a seamless booking experience
- Create and manage comprehensive Banquet Event Orders (BEOs) that detail every element, from setup specifics and food & beverage selections to AV needs, décor, and precise timelines
- Partner with the Banquet team to ensure events are set up and delivered seamlessly, followed by timely post-event debriefs, payment completion, and collection of valuable feedback for implementing into future events
- Prepare and distribute the Weekly BEO Package & Events Sheet, keeping all relevant departments informed, updated, and on track
- Drive efficiency by ensuring timely Banquet POS updates and assisting in the creation of daily, weekly, monthly, and annual event reports
- Collaborate closely with the Event Services Supervisor, Food & Beverage teams, and other key departments to deliver outstanding events at both clubs
- Bring creativity and fresh ideas to the planning and execution of member-focused Club events, including Mother’s Day, Stampede, Christmas, and other signature celebrations
Qualifications:
- Minimum 2 years’ experience in event coordination, hospitality or related fields
- High school diploma, with a degree, diploma, or certificate in event management, business, tourism or hospitality considered an asset
- Proven experience managing multiple events simultaneously, preferably within Club or multi-functional facility environments
- Exceptional organizational, multitasking, and problem-solving abilities with keen attention to detail.
- Professional and diplomatic communication style to engage effectively with members and staff.
- Experience with event management systems (e.g., Northstar, Birchstreet) is an asset
- Strong team player dedicated to delivering exceptional service
- Strong adaptability with high standards of honesty, integrity, and ethical conduct

Additional Details: This is a full-time, salaried position that reports to the Events Services Supervisor. The successful candidate will require reliable transportation between both clubs and may be required to work a variety of shifts on occasion including weekdays, evenings, weekends and holidays based on the nature of the business.
The successful applicant will be required to complete a background check as well as Respect in the Workplace certification prior to commencing employment.
