A busy, established dermatology practice in North York is seeking a Medical Office Assistant (MOA) to join our team on a full-time basis.
This is not an entry-level position. Previous paid experience working in a physician's office or medical clinic is required. However, we recognize that experience alone does not necessarily determine how successful someone will be in a fast-paced specialist practice.
We are particularly interested in finding someone who is bright, attentive, eager to learn, and able to pick up new systems and procedures quickly. The successful candidate should be comfortable asking questions, taking initiative, learning from experienced staff, and gradually anticipating what physicians and patients need without having to be directed at every step.
Our dermatologists work in a busy clinical environment with a high volume of patients and procedures. The position therefore requires someone who can remain organized while moving quickly between different responsibilities and who can develop the ability to work efficiently alongside physicians as they move from patient to patient.
Experience in dermatology or another specialist/procedural medical practice would be an asset, but is not required. Experience with Accuro EMR is also an asset, but we are prepared to provide clinic-specific training to the right candidate.
What We Are Looking For The successful candidate should have:
- Previous paid experience in a physician's office or medical clinic
- Hands-on experience with an Electronic Medical Record (EMR) system
- Experience interacting directly with patients in a medical setting
- Experience with medical-office procedures, patient records and documentation
- Good knowledge of medical terminology
- Strong computer skills
- Excellent spoken and written English communication skills
- Excellent organizational and time-management skills
- Strong interpersonal and customer-service skills
- The ability to learn new systems and procedures quickly
- The ability to multitask and change priorities in a busy clinical environment
- Good attention to detail
- Initiative and good judgment
- A willingness to ask questions and learn
- Reliability and punctuality
- The ability to work independently as well as part of a team
- Legal authorization to work in Canada
One to two or more years of medical-office experience is preferred. Completion of a Medical Office Administration / Medical Office Assistant program from a recognized post-secondary institution is strongly preferred.
Experience with Accuro EMR, dermatology, specialist clinics, medical procedures, specimen handling, or Ontario physician/OHIP billing would be considered an asset.
Responsibilities
Responsibilities include, but are not limited to:
- Registering patients and managing patient flow
- Placing patients in examination rooms
- Assisting physicians with clinic workflow
- Preparing, cleaning and stocking examination rooms
- Preparing rooms and appropriate supplies for procedures
- Assisting with the efficient turnover of examination and procedure rooms
- Cleaning and sterilizing appropriate equipment
- Processing specimens for transport to laboratories
- Scheduling and coordinating patient appointments
- Processing incoming referrals
- Answering and managing telephone calls
- Communicating with patients by telephone, email and text
- Receiving and communicating messages between physicians and patients
- Managing incoming and outgoing medical faxes
- Scanning, photocopying and filing documents
- Preparing and organizing patient documentation
- Processing patient payments
- Assisting with skincare and aesthetic product sales
- Preparing OHIP billing and performing billing verification
- Ordering supplies and maintaining inventory
- Basic bookkeeping and administrative duties
- General medical office organization

Schedule
- Full-time
- Monday to Friday
- Weekends as required
- In-person position
