We are seeking a detail-oriented and organized Medical Office Assistant to join our healthcare team. The ideal candidate will provide exceptional administrative support in a rapid-paced medical office setting, ensuring smooth daily operations. This role involves managing patient interactions, maintaining electronic medical records, and supporting clinical staff with administrative tasks.
Prior experience with medical office procedures is highly valued, and familiarity with electronic health record systems is essential. The successful candidate will demonstrate excellent communication skills, proficiency in office technology, and a strong understanding of medical terminology.
Duties
- Greet patients and visitors at the front desk with professionalism and courtesy
- Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
- Maintain accurate electronic medical records using systems such as Telus EMR or PS Suite
- Verify patient insurance information and assist with billing procedures
- Prepare patient charts and documentation for appointments and procedures
- Assist with patient check-in and check-out processes
- Support clinical staff by handling administrative tasks related to patient care
- Ensure the reception area remains organized, clean,
and welcoming
- Handle administrative correspondence, including emails and fax communications
- Manage appointment scheduling efficiently to optimize provider availability
Qualifications
- Previous experience as a Medical Office Assistant is an advantage.
- Proficiency with Microsoft Office, EMR and similar suites.
- Strong knowledge of medical terminology and healthcare documentation standards
- Experience working in a medical office environment is highly advantageous
- Excellent organizational skills with attention to detail
- Ability to operate multi-line phone systems effectively
- Demonstrated office experience in front desk or administrative roles
- Strong communication skills, both verbal and written
- Ability to multitask efficiently in a busy healthcare setting
- Prior experience with office management software and basic administrative tasks is an advantage
