Part-Time Controller / Senior Bookkeeper

The Opportunity
We are seeking an experienced Part-Time Controller / Senior Bookkeeper to take ownership of Dexotech's day-to-day accounting function and provide practical financial oversight to management.
This is a hands-on role. The successful candidate will be comfortable processing and reviewing transactions while also operating at the controller level—closing the books, maintaining financial controls, preparing management reporting, monitoring cash flow, and identifying issues before they become problems.
You will work closely with the Managing Director and our Office Manager. The Office Manager will support administrative processes and documentation, while you will be responsible for the accuracy, completeness, and integrity of the company's financial records and reporting.
This is a part-time hybrid position, approximately 16–24 hours per week. Attendance at our Etobicoke office approximately one day per week is expected, with additional attendance occasionally required.
Key Responsibilities
Accounting & Bookkeeping
- Own the company's day-to-day bookkeeping and accounting processes
- Manage and review Accounts Payable and Accounts Receivable
- Prepare and issue customer invoices and ensure appropriate supporting documentation
- Monitor receivables, collections, and aging
- Reconcile bank accounts, credit cards, loans, and other balance sheet accounts
- Review employee expenses and corporate credit-card transactions
- Maintain the general ledger and ensure transactions are accurately classified
- Maintain intercompany accounts and reconcile transactions between related Canadian and U.S. entities
- Review payroll entries and payroll-related reconciliations
- Maintain accurate supporting documentation and financial records
Month-End & Financial Reporting
- Own and complete the monthly financial close
- Prepare monthly income statement, balance sheet, and cash-flow reporting
- Maintain balance-sheet schedules and supporting reconciliations
- Prepare management reporting and identify significant variances or unusual transactions
- Provide management with clear visibility into revenue, expenses, profitability, working capital, and cash position
- Develop and maintain budgets and rolling cash-flow forecasts
- Support project-level financial reporting and job profitability analysis
- Identify financial trends, risks, and areas requiring management attention
Financial Controls & Compliance
- Establish and maintain appropriate accounting procedures and internal controls
- Ensure AP, purchasing, expenses, invoicing, and payment processes have appropriate documentation and approvals
- Support HST/GST and other required government filings and reconciliations
- Coordinate with external accountants regarding year-end financial statements and corporate tax filings
- Support audit, insurance, banking, and other financial information requests
- Maintain organized and audit-ready financial records
- Help ensure appropriate accounting treatment of capital assets, equipment purchases, intercompany transactions, and cross-border activities
Systems & Process Improvement
- Improve accounting workflows, documentation, and financial controls as the company grows
- Support the transition from existing accounting systems to ERP and potentially Microsoft Dynamics 365 Business Central as we evaluate upgrades
- Assist with the design of Business Central accounting workflows, chart of accounts, approvals, reporting, and financial controls
- Improve integration between project operations, timekeeping, purchasing, invoicing, and accounting
- Identify opportunities to automate repetitive accounting and reporting processes
Management Support
- Act as a trusted financial resource to the Managing Director
- Provide practical financial analysis to support business decisions
- Flag cash-flow, collection, margin, spending, or accounting issues proactively
- Work with the Office Manager to establish clear administrative and financial workflows
- Provide guidance to administrative staff regarding invoicing, expenses, purchasing documentation, and financial procedures
- Help build a finance function capable of supporting the company's continued growth
Required Qualifications
- Minimum 5 years of progressive bookkeeping/accounting experience, including responsibility for month-end close
- Solid hands-on experience with AP, AR, general ledger accounting, bank reconciliations, payroll entries, and financial reporting
- Demonstrated ability to independently maintain accurate books and produce reliable monthly financial statements
- Strong understanding of accounting controls and month-end procedures
- Experience with QuickBooks Online or comparable accounting/ERP systems
- Advanced Excel skills and solid Microsoft 365 proficiency
- Strong attention to detail and ability to identify discrepancies
- Ability to work independently and take ownership of deadlines and deliverables
- Strong written and verbal communication skills
Preferred Qualifications
- Accounting designation (CPA) or relevant accounting education
- Controller, Assistant Controller, Accounting Manager, or senior full-cycle bookkeeping experience
- Experience with Microsoft Dynamics 365 Business Central
- Experience implementing or transitioning accounting/ERP systems
- Experience with project-based accounting, job costing, or professional services
- Experience supporting engineering, consulting, construction, utility, field-service, or technical businesses
- Experience with multi-entity and Canada/U.S. intercompany accounting
What Success Looks Like Within the first 90 days:
- The books are current, accurate, reconciled, and supported by appropriate documentation
- A consistent monthly close process and schedule are established
- Management receives reliable monthly financial reporting
- AP, AR, invoicing, collections, expenses, and reconciliations are operating consistently
- Intercompany balances are understood and reconciled
- Cash requirements and receivables are clearly visible to management
- Responsibilities between the Controller and Office Manager are clearly defined
- Existing accounting processes and controls have been reviewed and priority improvements identified
- A practical roadmap exists for the company's transition to Microsoft Dynamics 365 Business Central
Over time, success means the Managing Director can rely on the Controller to own the accounting function, maintain financial discipline, and provide accurate and timely financial information without requiring day-to-day oversight. Compensation & Schedule
- Approximately 16–24 hours per week
- Hybrid work arrangement with approximately one day per week in our Etobicoke office

Pay: $45.00-$60.00 per hour
