We are looking for a Scheduling Supervisor to jointhe People and Culture team located at the Nanaimo North branch.

As Scheduling Supervisor, you’ll lead and support the team responsible for coordinating staffing across VIRL’s branches and administrative departments. You’ll balance people leadership with hands-on scheduling by guiding your team, solving complex coverage challenges, keeping information accurate, and helping ensure scheduling practices are consistent and effective across the organization.

What you’ll do

As the Scheduling Supervisor, you’ll lead the day-to-day work of VIRL’s Scheduling team while also participating directly in scheduling operations. You’ll help the team navigate changing staffing needs, solve coverage challenges, and provide reliable scheduling support across the organization.

- Lead and support the Scheduling team,



providing day-to-day direction, coaching, work coordination, and support to the Scheduling Assistants.
- Keep staffing moving, participating in scheduling operations and coordinating responses to short-term absences, replacement requests, and changing coverage needs across VIRL branches and departments.
- Review scheduling requests and coverage challenges escalated by the team, help solve the tricky ones, and work with managers to find practical solutions.
- Keep information accurate and reliable, overseeing scheduling and timekeeping information across multiple systems and supporting consistency, data integrity, and confidentiality.
- Support effective decision-making, maintaining scheduling records, reports, and data and providing scheduling-related information to leaders and project teams.
- Help make scheduling better, identifying opportunities and providing recommendations on scheduling practices, procedures, systems, and operational improvements.
- Support fair and consistent practices, applying relevant policies, procedures, operational guidelines, and collective agreement provisions in the day-to-day work of the Scheduling team.

What you bring

- A two-year diploma in Business Administration, Management, or a related field, combined with at least five years of related experience in a scheduling workplace, such as healthcare, transportation, logistics,



or a call centre. An equivalent combination of education, training, and experience may be considered.
- Experience working with employee scheduling, timekeeping, and/or human resources systems.
- Experience supervising employees or coordinating the work of a team, preferably in a unionized workplace.
- Strong organizational skills and the ability to manage multiple priorities and competing deadlines in a busy, changing environment.
- Strong problem-solving and decision-making skills, with the ability to assess issues, identify practical solutions, and follow through.
- The ability to successfully complete a Vulnerable Sector Criminal Record Check.

Pay: $36.19 per hour

Expected hours: 35.0 per week
