You are skilled in de-escalation and conflict resolution — especially with a customer who is worried about an alarm, a backup, or a technician who has not arrived yet.

No prior septic-industry experience is required. We will teach you the systems, the language and the standards. What we cannot teach is care, composure and follow-through.

About the Job

ESSE Canada is hiring a Service Management Coordinator to join our office team in Brantford. This is an essential, in-person role in a fast-paced service company. It requires an unwavering positive attitude, excellent communication and consistent attention to detail.

You sit beside our Urgent Response Service Manager and keep the service desk moving so emergency work, planned maintenance and customer commitments do not compete with each other. You also own our parts, ordering and inventory coordination so crews leave the yard with what they need.

The role has three primary functions:

1. Service Management & Urgent Response Support

You are one of the most vital members of the service day. Technicians and customers feel the quality of this role immediately. A positive,



supportive and organized interaction with every technician is paramount.

- Book and organize service calls. Keep the schedule current so technicians know where to be and when.
- Field incoming calls. Separate true emergencies (alarms, backups, failed pumps, surfacing effluent) from planned work and follow-up.
- Support the Urgent Response Service Manager by taking scheduling, status, parts and follow-up volume so they can stay on live dispatch and urgent quoting.
- Give stressed customers explicit, calm updates — ETAs, preparatory instructions and honest timing.
- Track each job from first contact through close-out. Nothing urgent sits in a voicemail or an unfinished note.
- Help keep the morning and end-of-day boards complete: confirmed appointments, access notes, carry-over work, parts status and vehicle availability.
- Participate in scheduled evening and weekend customer-service coverage on the emergency line.

2. Inventory & Parts Program Coordination Internal responsibilities include administration of our inventory and parts program. In collaboration with operations and finance, you track stock, procure parts and consumables, and manage vendor relationships with a keen sense of what the field will need next.

- Maintain inventory for the components we use every week: pumps, floats, control-panel parts, alarms, fittings, filters, media and consumables.
- Raise and track purchase orders. Confirm pricing, lead time and freight. Chase a vendor when a job is waiting.
- Receive, inspect, label and bin incoming stock. Issue parts to work orders and technician vehicles. Record serial numbers for warranty.
- Kit and stage parts for same-day and next-day jobs so crews leave complete.
- Coordinate rush orders and local pickup when a field diagnosis needs a part that is not on the shelf.
- Replenish truck stock. Run cycle counts. Flag shortages, damage and slow-moving items.
- Process returns, credits and warranty claims. Keep the paper trail clean for finance.

3. Office, Schedule & Customer Experience Support Smooth coordination with the rest of the company is how clients receive top-tier service. You will live in our operating software and digital platforms, and you will keep billing and payment arrangements moving so the record matches the work.

- Answer inbound calls and make outbound calls — confirmations, reminders, check-ins and follow-ups.
- Prepare straightforward estimates from established price and parts lists when asked; hand complex or high-value work to the right manager the same day.
- Confirm work orders are complete after service: notes, photos, parts issued, billing flags.
- Coordinate with finance on receipts,



purchase-order coding and time-of-service payment collection.
- Provide periodic reception coverage and support seasonal peaks in demand.
- Protect confidential customer and company information.

What We Need

- Excellent customer service, interpersonal and communication skills — including de-escalation when someone is upset.
- Excellent organizational and planning skills with unwavering attention to detail.
- Strong problem-solving. You establish priorities in a quick-paced environment and adapt when the board changes.
- Ability to manage multiple tasks and still close the loop.
- Ability to work as part of a team and independently with focus.
- Comfort with computers and digital tools, including Microsoft Office and customer or field-management software. We will train you on ours.
- Ability to keep information confidential.
- A reliable commute to our Brantford office (416 Elgin Street, N3S 7P6), or a plan to relocate before your start date.

Assets: prior dispatch, parts, warehouse, trades-office or high-volume customer-service experience; French; experience producing simple operational reports. A bachelor’s degree is not required. Compensation & Details

- Pay: $32–$36 per hour, based on relevant experience.
- Job type: Full-time, permanent, with a probationary period.
- Schedule: Monday to Friday, in person. Overtime as required. Scheduled evening and weekend on-call customer-service rotation.
- Additional pay: overtime pay.
