Job Summary Effectively work with and assist the Snow School Manager and Assistant Manager to provide support where needed. You will work under the direction of the Supervisor team to assist with the daily operations of the Snow School, primarily focused on the administration functions of the department. This lead hand level role covers the management of the instructors’ schedules, lesson reservations, staff information and some payroll duties to meet business levels and performance targets.
Consistently provide professional, high-quality guest service while representing the organization and industry with integrity.
This position is performed primarily indoors, however travel in a winter mountain resort environment is required. At times this role requires the ability to work in varied weather and snow/rain conditions, including cold temperatures, wind, and reduced visibility at times. This involves frequent interaction with staff and some guests in a fast-paced and team-oriented environment. Weekend, holiday, and peak-period work is required based on operational needs.
3 days per week (Saturday – Monday), Seasonal, as per resorts operational dates; early December to early April.
A typical working day will be 7:30am – 4pm with 30 mins unpaid break. Weather and business level dependant.
Expected start date: 4th December 2026
Expected end date: 27th March 2027
This role can be matched with other roles to provide full time employment options.
Key Responsibilities
Scheduling, Booking & Systems Management
- Manage instructor scheduling, ensuring appropriate coverage and adjustments based on operational needs.
- Maintain and update instructor availability, bookings, and scheduling information in Axess.
- Oversee Snow School group bookings, schedule changes, and lesson allocations to ensure accuracy and efficiency.
- Track instructor assignments, absences, and reasons for changes to maintain accurate operational records.
- Monitoring and upkeep of email accounts, as allocated.
Administration & Compliance
- Assist with daily payroll processing, ensuring accuracy and timely resolution of discrepancies.
- Support staff administration including hiring processes, terminations, and uniform distribution.
- Maintain up-to-date records for training, certifications, visas, criminal record checks, and Occupational Health & Safety (OH&S;) requirements.
- Ensure all documentation is accurate, current, and aligned with resort compliance standards.
Operational Support
- Attend daily meetings, check-ins, and weekly meetings as required.
- Assist with instructor line-ups, meeting point organization, and daily operational flow.
- Support Snow School operations through additional duties as assigned by Supervisors or Managers.
- Assist daycare staff with sign-ins and daily operations, including supervised snack time, if needed.
- Maintain cleanliness and organization of Snow School facilities, including pro rooms, offices and teaching areas.
- Assist with snow removal duties, including shoveling stairs and entryways and maintaining corresponding logs.
- Support other resort operations, including Rentals, Sales, Events, and Guest Services, as required.
- Ensure adherence to operational standards including safety, conduct, uniforms, and guest service expectations.
Guest & Internal Communication
- Maintain clear and consistent communication with Snow School Supervisors regarding staffing needs, booking changes, and operational updates.
- Liaise with instructors regarding schedules, bookings, changes, and operational expectations.
- Support internal communication to ensure smooth daily program operations and information flow.
Required Skills & Qualifications
Required
- The ability to solve problems and remain calm under stressful and high-volume situations
- Demonstrated ability to work independently and collaboratively within a team environment.
- Administrative experience and general computer literacy – Microsoft platforms
- Excellent oral and written communication skills in English.
- Punctuality, reliability, flexibility and fantastic organizational skills are necessary.
- Proven commitment to delivering excellent customer service
Preferred:
- Previous experience in dispatching is considered an asset.
- Payroll systems experience, ideally with Paycom.
- Previous sales ware or reservation systems knowledge
- Exceptional knowledgeable of all resort related information including hours of operation, events, promotions and snow school programs.
