Job Description:
We are looking for a HR Administrator to join a service-based organization in Coquitlam, British Columbia on a contract basis. This role supports a busy HR team with document management, employee records administration, and shared inbox coordination in a hybrid work setting. The successful candidate will help keep HR processes organized and accurate while assisting with time-sensitive administrative tasks. This is a short-term chance well suited to someone who is comfortable handling confidential information and working efficiently with established templates and systems.
Responsibilities:
Convert paper-based employee records into accurate digital files by scanning, organizing, and securely disposing of physical documents when appropriate.
Monitor the shared HR inbox and respond to routine administrative requests by preparing letters and related documentation using approved templates.
Review updates for candidate screening requirements to confirm required clearances have been completed and properly recorded.
Maintain employee files with a high degree of accuracy, ensuring information is current, complete, and easy to retrieve.
Provide day-to-day administrative support to the HR team while coordinating tasks across a group of five staff members.
Assist with records organization related to office changes, including updating filing practices and supporting document management activities.
Use Microsoft Office, Microsoft Teams, and HR systems such as ADP Workforce Now to complete assigned tasks efficiently.
Handle confidential HR information carefully and follow established privacy and document retention practices.
Requirements:
Previous experience in HR administration or a similar administrative support role.
Proficiency with Microsoft Office and Microsoft Teams in a workplace setting.
Familiarity with ADP Workforce Now or comparable HR systems is considered an asset.
Robust attention to detail with the ability to manage files, records, and documentation accurately.
Well-developed organizational skills and the ability to manage multiple priorities within a quick-paced team setting.
Experience working with digital file management, document scanning, and records maintenance.
Comfortable reviewing routine compliance-related documents such as candidate screening confirmations.
Ability to maintain confidentiality and exercise sound judgement when handling employee information.
