Position Summary

Reporting to the Manager of Records and Registration and as an integral member of the Enrolment Services team, the Records and Registration Representative provides a full range of functions associated with various Record and Registration Portfolios in accordance with established policies, procedures, guidelines and practices. The incumbent serves as a point of contact for the Student Records department and will be assigned a primary portfolio of responsibility (e.g., Transcripts, Transfer Credits, CE/Apprentice Certification), while supporting other Enrolment Services functions as required.

Responsibilities

- Develops and maintains the integrity of student electronic and hard copy registration and personal-attribute records of all past and present students.
- Maintains student records in Banner/Academic Information System (AIS), including grade and course withdrawals; resolve inquiries, ensure data integrity and compliance, and support system improvements and Convocation activities.
- Ensures timely and accurate responses to a wide variety of regulatory,



general and detailed information requests (phone/mail and email), e.g., course equivalencies, academic standing, add/drop courses, transcript services, Transfer Credit, Prior Learning Assessment and tuition calculations.
- Coordinates, implements and independently handles processes associated with the Apprenticeship and Continuing Education graduation audits; participates as part of the Records/Registration team on the Full-Time audits.
- Supports graduation audit and Convocation processes by reviewing student records against program requirements, confirming graduation eligibility, and producing the student’s credentials.
- Reviews, audits and verifies the accuracy of each student’s academic records (i.e., time status, term attributes, grades, academic standing, graduation eligibility, course equivalencies, academic progression, and personal attributes)
- Services student requests for academic transcript; tests and ensures accuracy of the record prior to producing/sending official transcript.
- Reporting to and in consultation with the Manager provides operational support and assistance for administrative tasks associated with the Important Dates Calendar
- Merges duplicate student records across multiple systems (Banner, MIS, SIS) and reviews Prior Learning Assessment, Equivalency/Waiver, Transfer Credit and readmission requests for accuracy.
- Coordinates transcript request services, including OCAS and online requests, and responds to inquiries from external verification agencies and GPA calculation questions.

Qualifications/Experience

- A minimum 2-year Community College diploma in Business, Business Information Systems or related field, or equivalent combination of education and experience
- 3 years’ experience in Student Records/Registration or a related field
- Working knowledge of the Ontario secondary and post-secondary education system combined with knowledge of the College and Ministry of Training Colleges and Universities (MTCU)

- Familiarity with Ontario’s Freedom of Information and Protection of Privacy Act
- Demonstrated strong organizational and analytical skills to prioritize work effectively
- Proven ability and initiative to work accurately under pressure with the flexibility to handle multiple tasks with concurrent/conflicting deadlines, meet objectives and ensure successful outcomes
- Effective and accurate oral and written communication skills
- Proficiency in the use of Banner/AIS (the college on-line system) and data base organization is a must
- Proven interpersonal, customer service and problem-solving skills to respond to the general public, students and staff
- Ability to communicate and interact with sensitivity/tact and diplomacy when addressing the needs of clients from multi-racial cross-cultural, diverse backgrounds
- Working knowledge of related software packages (e.g., Word, Excel, Outlook), as well as excellent data entry/keyboarding, text editing skills
- Proven ability and robust commitment to function effectively as a member of a team combined with the ability to work independently with minimal supervision in a busy office environment
