Summary
Work is performed under the direction of an administrative officer and requires a high degree of independent judgment and initiative in managing a broad range of technical and administrative responsibilities. Financial tasks are performed under the direction of district finance management. The position provides comprehensive business, financial, office, and student administration support for a middle or secondary school and plays a key role in the effective operation of school programs and services.
The Business Coordinator – Middle / Secondary is responsible for independently carrying through to completion a variety of interrelated tasks of intermediate complexity, particularly in the areas of financial administration, accounting controls, budgeting support, and operational oversight. The role requires the ability to apply established procedures, recommend improvements to processes, and exercise discretion in selecting appropriate approaches to address routine and non‑routine issues. Difficult or unusual matters may be referred to an administrative officer.
Work is performed with minimal supervision and requires strong organizational skills to manage competing priorities, supervise office staff, ensure accuracy and compliance with District policies and procedures, and support administrators in financial planning, reporting, and decision‑making. As the scope and complexity of school operations evolve, the position is expected to adapt to changing requirements and support continuous improvement in school business practices.
Duties include, but are not limited to:
· Financial related responsibilities and tasks are as follows:
o Assist with implementing and maintaining district financial policies and procedures.
o Purchase of school supplies and equipment in accordance with district purchasing procedure.
o Review, code, and submit payment requests that have been authorized by the appropriate principal/manager.
o Review, code, and reconcile credit card expenditures monthly.
o Prepare and deliver bank deposits weekly.
o Maintain accurate accounting records for operating budgets and school trust fund accounts.
o Maintain supporting documentation for all financial transactions.
o Monitor and follow up on school-based fees owing.
o Prepare monthly bank account reconciliations and submit authorized reconciliations to the district office.
o Prepare periodic financial information reports and analysis as required.
o Prepare expenditure estimates and fee/fundraising requirements for school events, programs, and initiatives.
o Monitor the school operating budget and trust fund accounts throughout the year and advise supervisor of concerns or issues.
o Assist with the administration of the school budget.
· Office administration related responsibilities and tasks are as follows:
o Coordinates and oversees the acquisition and disbursement of school office supplies and equipment, including purchasing, receiving, checking, storing, and distributing.
o Coordinates the ordering of school approved learning resources.
o Supervises the collection of student fees.
o Assists with training and support for school staff and other clerical positions in relation to the school’s business operations.
o Coordinates the preparation and distribution of communications with school staff, Board Office, and outside agencies.
· Student administration related responsibilities and tasks are as follows:
o Supervises the completion of student registrations, completion of Ministry and District forms, tracking of special needs and international students, textbook inventory, and other related duties.
o Assists with student records, student information, timetables, transfers in/out, interim, and final grade submissions, report cards, month end reports, cross boundary students, and related materials.
o Assists with the use of software to create and maintain the school’s timetable.
o Assists with the preparation of the course handbook, selection sheets, student agenda booklet, school calendar.
o Assists with enrollment forecasting.
o Assists in the preparation of a large variety of student reports including, achievement, growth plans, many different program and course subject areas, etc.
· Perform other related duties as may reasonably be expected of a person in this position.
Required Qualifications:
· Completion of Grade 12
· A two (2) year Diploma in Financial Management, or Business Administration, or equivalent Diploma
· A valid Class 5 Driver’s License
Required Experience
· A minimum of two (2) years’ relevant office administration experience, including use of computerized office administration systems and accounting and financial systems
· A minimum of two (2) years’ supervisory experience
Required Skills and Abilities:
· Superior organizational skills
· Superior attention to detail: prepares accurate correspondence, reports, and other materials
· Superior interpersonal and communication skills, both oral and written
· Exceptional knowledge of office procedures and records management
· Exceptional use of computerized software systems, financial accounting systems, Microsoft office software, and the use of technology to streamline work
· Ability to work within deadlines and other time pressures
· Ability to function effectively in an administrative and supervisory capacity
· Ability to work co-operatively and collaboratively and to maintain effective working relationships
· Proficient in the use school-based software such as school cash, MyEd BC
· Working knowledge of school district operations, policies, and procedures
