About the Role

WeirFoulds is seeking a Servery Assistant to deliver a consistently high standard of hospitality and front-of-house service to the Firm's clients, lawyers and staff.

In this highly visible role, you will ensure that boardrooms, function spaces, lounges, coffee stations and servery areas are prepared, stocked and maintained to the Firm's service standards, and that catering and meeting requirements are executed accurately and on time. You will also provide scheduled and unscheduled reception coverage, ensuring the front desk and main telephone line remain professionally staffed throughout the business day.

This is an excellent opportunity for a service-oriented professional who enjoys variety and moves easily between behind-the-scenes preparation and client-facing interaction.

This is a full-time, on-site position based in the office five days per week, Monday through Friday, from 9:00 a.m. to 5:00 p.m., with flexibility to work occasional overtime as needed.

What You'll Do

Meetings, Boardrooms & Events

Prepare, set, refresh and reset boardrooms for meetings, client visits, internal gatherings and catered events
Ensure meeting rooms are clean, organized, properly configured and stocked with required food, beverages, dishware, glassware, cutlery, napkins and other service items
Support catered meetings and events — receiving catering orders, setting up food and beverage service, monitoring replenishment needs, clearing service items and returning rooms to standard
Respond promptly and professionally to day-of service needs, changes and requests, escalating issues where appropriate
Work collaboratively with reception, facilities, vendors and internal teams to support a seamless client and guest experience
Assist with setting up event spaces for firm-wide, reception and cocktail events





Reception Coverage

Provide reception coverage during breaks, lunch periods, end of day, vacations and unplanned absences, including professionally answering all incoming calls through the main line
Greet clients, guests, lawyers and staff in a professional and service-focused manner when providing reception support
Handle incoming client deliveries and correspondence for legal and accounting teams, ensuring accurate routingand compliance with office procedures

Lounges, Serveries & Coffee Stations

Maintain the lounges by cleaning surfaces and appliances, loading and unloading dishwashers, restocking snacks and beverages, and tidying seating areas
Keep coffee stations and serveries clean, stocked and ready for daily use

Inventory & Supplier Coordination

Assist with ordering, receiving, unpacking, stocking, rotating and organizing supplies in accordance with established procedures
Track frequently used items, flag shortages or waste concerns, and help maintain accurate supply records
Support cost-conscious use of supplies while maintaining appropriate service levels and presentation standards
Place and coordinate orders with approved vendors — including Van Houtte Coffee, Voilà, Costco and Canadian Linen — in the absence of the Hospitality Services Supervisor, ensuring adequate inventory levels and uninterrupted service
Perform other duties as assigned

What You Bring

Education & Certification





Grade 12 education or equivalent
Valid Food Handler Certification and Smart Serve certification

Experience

At least two years of relevant experience in hospitality, food and beverage service, or a comparable client-facing environment
A qualified and polished telephone manner; experience handling a multi-line main reception line is an asset
Working knowledge of food hygiene and safety basics
Basic proficiency with Outlook (email and meeting invitations) and the ability to read and interpret a meeting room booking schedule in Outlook

Skills & Approach

Strong customer service skills and a warm, professional presence with clients, guests and colleagues
Excellent attention to detail, with the ability to prioritize competing requests and adjust quickly when plans change
Sound judgment and discretion in handling confidential information
A collaborative, team-oriented approach and a positive attitude in a fast-paced environment

Working Conditions

Regular walking between floors and standing for extended periods
Frequent bending, reaching, lifting, carrying, stocking and moving supplies and service items
Safely lifting and carrying items weighing up to 50 lbs
