We are looking for a full-time Veterinary Receptionist/Assistant to join our team at Cedarwood Veterinary & Animal Emergency Hospital.
Our reception team is an essential part of our hospital. They are often the first and last point of contact for our clients and play an important role in keeping the entire hospital running smoothly. This is a busy, hands-on position that requires excellent communication, attention to detail, teamwork, and the ability to confidently juggle multiple priorities at once.
Work Schedule
This position offers a consistent four-day work week:
- Monday: 10:00 AM – 8:00 PM
- Tuesday: OFF

- Thursday: 9:00 AM – 7:00 PM
- Friday: 9:00 AM – 7:00 PM
- Weekends: OFF
- Statutory Holidays: OFF
Enjoy a predictable schedule with every Tuesday, weekend, and statutory holiday off!
What You'll Be Doing
As a Veterinary Receptionist/Assistant, your day may include:
- Greeting clients and patients and helping them feel welcome
- Answering a busy multi-line telephone system and managing client communications
- Scheduling appointments and helping prioritize urgent concerns
- Admitting patients for appointments, emergencies, procedures, and surgeries
- Gathering accurate client information and detailed patient histories
- Preparing invoices, processing payments, and assisting with patient discharges
- Maintaining accurate patient files and medical records
- Scanning, uploading, and linking documents appropriately
- Managing pet food, medication, and product pickups
- Preparing, cleaning, and restocking exam rooms between patients
- Assisting veterinarians and veterinary support staff when needed
- Maintaining a clean and organized reception and client area
- Helping with the many unexpected tasks that come with keeping a busy veterinary hospital running!
Who We're Looking For
Our ideal candidate is someone who:
- Is friendly, compassionate, professional, and dependable
- Has excellent communication and client-service skills
- Has solid attention to detail and takes pride in doing things correctly
- Is comfortable working in a fast-paced and sometimes unpredictable environment
- Can prioritize tasks and manage multiple responsibilities without becoming overwhelmed
- Is able to problem-solve and use good judgment when faced with unfamiliar situations
- Takes initiative and is willing to look for answers and solutions
- Works well independently while also being a supportive team player
- Is punctual, reliable, and has a strong work ethic
- Is comfortable learning new computer programs and completing accurate data entry
- Can follow established procedures and protocols
- Is comfortable and compassionate around animals and their owners
- Understands that veterinary medicine can involve emotional and difficult situations and can maintain professionalism and empathy during those moments
- Is willing to help wherever needed — because in veterinary medicine, no two days are quite the same!
Experience
Previous veterinary reception, veterinary assistant, medical reception, or animal-care experience is an asset, but the right attitude, work ethic, and willingness to learn are equally important.
Experience with veterinary practice-management software is an asset; training will be provided.
A Little About the Role
This isn't a position where you'll spend the day simply answering phones and cuddling puppies!
Veterinary reception requires balancing client service, patient care, medical information, emergencies, scheduling, payments, phone calls, and the needs of the veterinary team — sometimes all at once.
For the right person, that's also what makes the job rewarding. You'll become an important part of a team that works together to care for animals and support the people who love them.
If you're compassionate, organized, quick on your feet, and looking for a workplace where you can learn, contribute, and make a difference, we'd love to hear from you.
