Role Overview

We are seeking an experienced, proactive, and multi-talented Accounts Payable & Office Administrator to join our team in Mission, BC. This dual-function role serves as both the primary accounting clerk of our financial payables for a group of related companies and the administrative backbone of our daily office operations.

As the sole steward of our AP functions, you will handle full-cycle payables, vendor relationships, and financial reconciliations. Simultaneously, you will keep our office running smoothly by managing reception, employee onboarding logistics, expense tracking, and general administrative workflows.

Key Responsibilities

1. Accounts Payable & Financial Operations





- Full-Cycle AP: Process, code, and record vendor invoices accurately across multiple inter-related entities.
- Payment Execution: Prepare and execute weekly/bi-weekly EFTs, cheques, and wire transfers.
- Vendor Management: Maintain strong relationships with key suppliers, respond to billing inquiries, and resolve statement discrepancies.
- Reconciliations: Perform monthly corporate credit card reconciliations, vendor statement reconciliations, and assist with month-end ledger balancing.
- Compliance & Reporting: Assist with regulatory compliance tracking, intercompany transactions, and supporting financial reports as needed.

2. Office Administration & Reception

- Front Desk Operations: Answer and route incoming phone calls and general inbox emails; warmly greet visitors, clients, and suppliers.
- Employee Onboarding Support: Coordinate logistics and administrative paperwork for newly hired office and field employees.
- Expense Management: Review, verify, and track monthly employee expense claims and receipts before payroll processing.
- Office Maintenance & Supplies: Oversee daily office operations, maintain clean common areas, and manage inventory/ordering for office supplies.
- General Administrative Support: Provide core support to management and operations teams across daily operational workflows.





Qualifications & Skills

- Education & Background: Certificate, diploma, or degree in Accounting, Finance, or Business Administration (or equivalent work experience).
- Experience: 2–3+ years of hands-on Accounts Payable and office administration experience (experience handling multiple intercompany accounts or working within the construction/industrial sector is a robust asset).
- Software Proficiency: Hands-on experience with QuickBooks is required. Sage 50 is used extensively in this position, so prior hands-on experience with Sage 50 is a major plus. Proficiency in Microsoft Excel, Word, and Outlook is required.
- Teamwork & Collaboration: Ability to work seamlessly with our internal accounting team, company employees across departments, and external clients.
- Multi-Tasking & Autonomy: Exceptional time-management skills with the ability to prioritize competing deadlines independently.
- Communication & Personality: Warm, approachable personality with strong verbal and written communication skills to effectively interface with management, vendors, and field personnel.
- Attention to Detail: Meticulous accuracy in data entry and financial record-keeping.
