Agile Building Controls is in search of an Administrative Assistant. The successful candidate will be a dedicated, hard-working individual who takes pride in their work. They will be responsible for performing clerical and administrative duties within the organization to support the team and management team.

They will maintain excellent rapport and build long-term value-based relationships with customers and internal parties. With their enthusiastic and ambitious energy, they will provide the highest quality customer service and will play a definite key role in enhancing our corporate image and reputation.

Duties and Responsibilities:

- Open and distribute incoming regular and electronic mail and other material
- Co-ordinate the flow of information internally and with other departments as required
- Answer telephone and electronic enquiries and relay telephone calls and messages
- Set up and maintain manual and computerized information filing systems
- Arrange travel schedules and make reservations
- Manage parts and service requests
- Work with the sales department, technicians, and Project Managers to track job progress and keep track of project stages
- Work with the accounting department for progress billing of projects
- Produce installation, operation,



and maintenance manuals for projects
- Manage and update the sales bid calendar
- Track the electrician’s hours and job costing
- Produce job progress reports and review reports with the team of technicians and electricians to ensure that jobs and projects are on track
- Enter job orders and produce material purchase orders for projects
- Other duties as assigned

Beneficial Skills and Requirements:

- Must be detail oriented with the ability to work under pressure and meet deadlines
- Strong written and verbal communication skills, ability to communicate effectively and work as a team
- Robust planning, organization and time management skills
- Dedication to customer service and support
- Ability to identify and resolve problems
- Knowledge of, or experience in an HVAC, Electrical systems, and/or controls business is considered a definite asset
- Proficient computer skills (Outlook, Excel, etc.)
- Must have a class 5 driver’s license

Education / Training:

- Completion and certification of a two- or three-year college program in instrumentation and controls is considered an asset
- Post-secondary education in electrical or mechanical engineering/technology
