We are looking for an organized, dependable and motivated assistant. The primary role is supporting a financial advisor, with a secondary role providing backup administrative support to our real estate division.
Working hours: 8:30 a.m. to 5:00 p.m., with a half-hour lunch break. Training will be provided on our systems, procedures and specific job responsibilities.
Part 1: Financial Advisor Assistant | Primary Responsibilities
- Prepare and complete client forms, applications and related paperwork accurately, following the advisor’s instructions.
- Check documents for missing information and signatures, submit paperwork and follow up on outstanding items.
- Assist with online trade processing and other transactions as authorized by the firm and directed by the financial advisor.
- Take clear notes during meetings and conversations, update client records and track follow-up tasks.
- Prepare letters, emails and other client correspondence for review.
- Greet clients professionally, answer calls, arrange appointments and assist with routine inquiries.
- Maintain organized electronic and paper files, handling confidential information with care.
- Assist with basic bookkeeping, expense records, invoices and payment tracking.
- Handle photocopying, scanning, faxing and general office administration.
- Monitor and order office supplies.
Part 2: Real Estate Administrative Assistant | Backup Responsibilities
- Prepare leases, renewals and related documents using approved templates and management’s instructions.
- Communicate with tenants about routine matters, appointments, maintenance requests and outstanding paperwork.
- Maintain tenant files, lease records and important dates.
- Assist with recording rent payments, expenses, invoices and receipts.
- Communicate with contractors and suppliers, arrange appointments, request quotations and follow up on work.
- Order approved supplies and materials as required.
- Prepare correspondence and keep clear records of tenant and contractor communications.
- Provide backup support when the real estate division needs additional assistance.
Skills and Personal Qualities Required
- Strong computer skills and confidence learning new software and online systems.
- Proficiency in Microsoft Excel, including creating and maintaining spreadsheets, using basic formulas, sorting information and tracking records.
- Proficiency in Microsoft Word, including preparing, editing and formatting professional documents.
- Basic bookkeeping skills and confidence working with numbers.
- An interest in finance and a general understanding of financial concepts.
- Clear written and verbal communication and a qualified manner with clients, tenants and contractors.
- Strong organization, accuracy and attention to detail.
- Ability to work independently, manage priorities and follow tasks through to completion.
- Self-motivation, flexibility and an eagerness to learn, including researching unfamiliar tasks and asking questions when needed.
- Resourcefulness, creative problem-solving and a willingness to suggest practical improvements.
- Discretion and sound judgment when handling confidential information.
Financial-advisor support is the priority. Real estate duties will be assigned as backup support according to workload and office needs. Pay: $19.00-$20.00 per hour
