The Admission Council is looking for an experienced and detail-oriented Admissions & Backend Coordinator to join our growing team.
The ideal candidate should have hands-on experience working with Canadian onshore students, preferably within an education consultancy, college admissions company, or student recruitment organization.
This role will be responsible for managing the complete admissions backend process, from student profile assessment and program selection to application submission, offer letter processing, documentation, and enrolment coordination.
Key Responsibilities
- Handle the complete college admissions process for students currently in Canada.
- Review student profiles and educational backgrounds to identify suitable programs and institutions.
- Assist counsellors with program selection, admission requirements, tuition fees, and intake information.
- Prepare and submit applications to Canadian colleges and institutions.
- Complete and manage college application portals and admission forms.
- Prepare, request, and follow up on Offer Letters / Letters of Acceptance (LOAs).
- Communicate with colleges regarding application status, missing documents, conditions, and admission requirements.
- Collect, review, organize, and verify student documents.
- Prepare complete student files for submission and maintain accurate records.
- Follow up with students for pending documents and application requirements.
- Coordinate with students regarding offer acceptance, tuition deposits, enrolment, and other admission-related requirements.
- Track application status, deadlines, intake dates, and outstanding conditions.
- Maintain and update CRM systems, Google Sheets, and internal student records.
- Coordinate closely with the counselling and sales team to ensure smooth conversion of leads into applications.
- Handle multiple student files simultaneously while maintaining accuracy and timely follow-ups.
- Ensure all applications are complete and submitted according to institutional requirements.
- Maintain proper digital and physical filing systems.
- Provide regular updates to management regarding application progress and pending cases.
- Support the team with day-to-day admissions and backend operations.
Required Experience & Skills
- 1–3+ years of experience in Canadian college admissions, education consultancy, student recruitment, or a similar role.
- Robust experience dealing with the Canadian onshore student market.
- Hands-on experience with Canadian college/university application processes.
- Knowledge of Canadian colleges, programs, admission requirements, and intakes.
- Experience handling Offer Letter / LOA applications and follow-ups.
- Strong document management and file-processing skills.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple student applications and deadlines.
- Excellent communication and follow-up skills.
- Comfortable using CRM systems, Google Sheets, Microsoft Office, email, and online application portals.
- Ability to work independently and coordinate effectively with counsellors and the admissions team.
Preferred Candidate The ideal candidate will be someone who:
- Has hands-on experience with Canadian onshore admissions.
- Understands the needs and challenges of students already in Canada.
- Can independently manage a student file from application → offer letter → enrolment.
- Is highly organized and comfortable working with multiple applications.
- Has strong follow-up skills and takes ownership of assigned files.
- Can work in a fast-paced, target-oriented education consultancy environment.
