About Us

The Schulich School of Medicine & Dentistry provides outstanding education within a research intensive, distributed learning environment where tomorrow's physicians, dentists, health researchers and scholars learn to be socially responsible leaders in the advancement of human health. The Schulich School of Medicine & Dentistry is the largest faculty on the Western University campus and employs over 2,000 part-time and full-time faculty and over 1,500 staff.

Responsibilities

The Admissions Administrative Assistant provides administrative and operational support to the Medicine and Dentistry Admissions Office. The role supports the effective delivery of admissions processes throughout the annual application cycle, including applicant document review, transcript evaluation, committee administration, interview and offer preparation, and student recruitment initiatives. Working closely with Admissions staff and faculty leadership, the incumbent ensures applicant information and documentation are processed accurately, confidentially, and in accordance with established admissions policies, procedures, and timelines. The role requires solid attention to detail, organizational skills, discretion, and the ability to manage multiple priorities and deadlines during peak periods of the admissions cycle.

The incumbent also provides general information and front line support to visitors to the Faculty or Division or Department, responds to phone and e-mail inquiries and refers inquiries to other resources.

Qualifications

Education





- Community College Diploma in an administrative field

Experience

- 2-4 year of experience in an academic or medical setting

Skills, Abilities & Expertise:

- Knowledge of general office procedures including records management systems
- Ability to establish effective routines for excellent communication with all members of the team to maximize productivity
- Proven ability and natural inclination to interact with people in professional, respectful and diplomatic manner
- Self-motivated multi-tasker with strong organizational skills
- Positive, outgoing attitude with genuine customer service orientation
- Demonstrated ability to work independently, take initiative and follow through on work assignments
- Familiarity with University policies and procedures preferred
- Written and verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Customer service skills to understand customer needs and expectations, with a desire to deliver helpful and reliable service to the University community
