Art One Academy is looking for a warm, organized, and creative Studio Administrator to join our team, who preferably lives in the area of The Beaches (East Toronto).

This role is ideal for someone who enjoys working with people, loves a busy creative environment, and can confidently communicate with parents, students, instructors, adult students, and studio directors.

Art School Administrator will be the key liaison between families, students, instructors, and management. This person will help ensure the studio runs smoothly, registrations are processed accurately, communication is clear, and marketing materials are prepared in line with the Art One Academy brand.

Duties

- Manage day-to-day administrative operations of the art school, including enrollment, scheduling, and record-keeping
- Serve as the primary point of contact for students, parents, and visitors, providing exceptional customer service
- Coordinate marketing efforts across various channels such as social media, email campaigns, and community outreach to promote classes and events
- Organize and facilitate promotional events, open houses, and community workshops to attract recent students
- Assist with recruiting efforts by engaging with prospective students and conducting informational sessions
- Maintain accurate records using Ellucian or similar student information systems
- Support teaching staff with logistical needs and classroom organization
- Develop and deliver engaging public speaking presentations about the school's programs and initiatives

Responsibilities:

Welcome and assist parents, children, adult students, and visitors in a friendly and professional manner

Act as a liaison between instructors, students, parents, and directors

Respond to inquiries by phone, email, and in person

Support registration, scheduling, student records, payments, and class changes

Accurately enter and update data in the registration system

Communicate class details, policies, schedules, and updates to families and students

Help organize studio schedules, instructor communication, and daily operations





Support birthday parties, workshops, camps, and special events as needed

Create social media posts, simple marketing materials, schedules, flyers, and print materials

Use Canva, Photoshop, or similar design tools to prepare branded materials

Assist with social media planning and posting

Maintain an organized, welcoming, and professional front desk area

Work closely with directors and team members to support studio goals

Requirements:

Strong communication and customer service skills

Excellent organization and attention to detail

Comfortable working with parents, children, teens, adult students, and instructors

Experience with registration systems, scheduling, or data entry is an asset

Marketing or social media experience is strongly preferred

Knowledge of Canva, Photoshop, or similar design tools is an asset

Ability to create simple posts, flyers, schedules, and printed materials

Professional, reliable, positive, and proactive

Able to multitask in a busy studio environment

Comfortable working evenings and weekends as needed

Bonus Qualifications:

Art background or experience in visual arts, art education, illustration, design, or a related field

Ability to teach or assist with art classes, workshops, camps, or birthday parties when needed

Experience working in an art studio, school, creative business, or children’s program

Ideal Candidate:

You are friendly, responsible, and highly organized. You enjoy helping people, solving small problems before they become big ones, and keeping things running beautifully behind the scenes. You are comfortable with both administration and creativity, and you understand the importance of explicit communication, accuracy, and great customer service.

An art background is a wonderful bonus, especially if you are also able to teach or support classes when needed.
