Role Requirements
As the Assistant Service Manager, you will work closely with the Service Manager to support the day-to-day operation of our busy commercial vehicle repair shop. You will help coordinate technicians, customers, work orders, and shop workflow to ensure repairs are completed efficiently, safely, and to a high standard.
Key responsibilities include:
- Coordinate and assign daily work to technicians based on workload, experience, qualifications, and customer priorities.
- Monitor work in progress and help maintain an organized and efficient flow of work through the Service and Parts departments.
- Support and provide day-to-day direction to technicians while reinforcing quality, safety, and customer service standards.
- Communicate with customers regarding repair requirements, job status, quotations, authorizations, and service concerns.
- Prepare accurate repair quotations and ensure appropriate customer authorization is obtained before proceeding with work.
- Open, maintain, and review work orders to ensure labour, parts, repair information, and required documentation are accurately captured.
- Assist with customer invoicing when required to support the Service team and prevent invoicing backlogs.
- Assist with resolving customer concerns and escalate significant issues to the Service Manager when required.
- Help maintain effective communication between technicians, Service Advisors, Parts, customers, and management.
- Monitor and reinforce company safety procedures, technician service-call check-ins, workplace organization, and 5S standards.
- Support departmental administration, reporting, purchasing controls, and other day-to-day Service Department requirements.
Requirements & Experience
- Valid driver’s licence.
- Journeyman certification in a relevant mechanical trade or equivalent hands-on experience working in a repair shop environment.
- Strong mechanical knowledge and the ability to understand repair processes, technician recommendations, and customer repair requirements.
- Previous experience in the heavy-duty truck, trailer, commercial vehicle, or related repair industry is preferred.
- Previous leadership, supervisory, or management experience is considered an asset but is not required.
- Strong communication and interpersonal skills with the ability to work effectively with customers, technicians, and coworkers.
- Strong organizational and problem-solving abilities with the ability to prioritize effectively in a fast-paced and changing shop environment.
- Comfortable using computers and learning service management, work order, invoicing, and reporting systems.
- Ability to make sound day-to-day decisions and recognize when an issue requires escalation to the Service Manager.
- Strong attention to detail and a commitment to quality workmanship, customer service, and workplace safety.
- Willingness to learn, take on additional responsibility, and develop into a strong leadership role within the Service Department.
