We are seeking an experienced and highly organized Bookkeeper and Office Manager to oversee the day-to-day accounting and administrative functions of a busy construction company located in Ottawa South.
The successful candidate will be comfortable working in a fast-paced environment and managing accounts payable, accounts receivable, payroll, government remittances, contract administration and general office operations.
Key Responsibilities
- Manage accounts payable, including reviewing, coding and processing supplier and subcontractor invoices
- Prepare customer invoices, track accounts receivable and follow up on outstanding balances
- Process payroll accurately and on time
- Complete and submit payroll remittances
- Prepare and file HST returns
- Complete WSIB reporting and remittances
- Perform bank and credit card reconciliations
- Maintain accurate and organized financial records using QuickBooks
- Track project expenses, purchase orders, deposits and payments
- Assist with the administration of customer, supplier and subcontractor agreements
- Maintain contracts, change orders, insurance certificates, warranties and other project documentation
- Coordinate general office administration, correspondence, filing and document management
- Communicate professionally with customers, suppliers, subcontractors and employees
- Recommend and implement improvements to accounting and administrative processes
- Provide general administrative support to management and the project team
Qualifications
- Previous bookkeeping experience, including accounts payable, accounts receivable and payroll
- Experience preparing HST returns and completing payroll and WSIB remittances
- Proficiency with QuickBooks and Microsoft Office, particularly Excel and Outlook
- Experience working for a construction company or in a related industry is strongly preferred
- Experience administering contractual agreements and maintaining project documentation
- Knowledge of construction accounting, job costing, holdbacks, progress billing and change orders is an asset
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Ability to manage competing priorities in a fast-paced setting
- Ability to work independently, take initiative and meet deadlines
- Clear and skilled written and verbal communication skills
What We Are Looking For We are looking for someone dependable, practical and proactive who can take ownership of the company’s bookkeeping and office administration. The ideal candidate will identify gaps, recommend improvements and ensure that financial, contractual and administrative records remain current, accurate and well organized.
Position Details
- Full-time, permanent position
- Monday to Friday
- 40 to 44 hours per week
- Flexible start time between 8:00 a.m. and 9:00 a.m., with a corresponding flexible end time
- Location: Ottawa South
- Salary: $65,000 to $75,000 per year, depending on qualifications and experience
- Start date: As soon as possible
