Established in 1922 as a golf club, The Thornhill Club has evolved into a distinguished all-season destination with a rich history and a commitment to excellence. The expansion into year-round activities began in 1963 with the addition of a curling rink, transforming our club into a versatile haven for members. Today, our facilities boast an eighteen-hole championship golf course, a nine-hole executive golf course, a curling rink, a full fitness facility, outdoor tennis courts, golf practice areas, a banquet hall and boardroom style rooms for private functions, and of course the clubhouse.
Position Summary The Catering & Events Coordinator supports the Catering Manager in the planning, coordination and execution of private events, member events and club functions. This is a hands-on position combining administrative event coordination with food and beverage operations. The successful candidate must be comfortable working in an office environment, communicating directly with members and clients, assisting with event planning and menu selections, and being present on the floor during event execution.
This is not a strictly administrative position. The role requires someone with strong food and beverage knowledge, event experience, operational awareness and the confidence to interact with clients, members, service staff, culinary teams and management.
Key Responsibilities
● Assist the Catering Manager with planning and coordinating private events, member events, weddings, meetings and club functions. ● Prepare, update and distribute Banquet Event Orders (BEOs) and communicate event requirements to culinary, service and other departments. ● Create and update event floor plans, room layouts and seating arrangements based on event requirements, guest counts and operational needs. ● Assist with client and member communication through meetings, phone calls and professional email correspondence. ● Support clients with menu selections, beverage options, bar packages, event setup and other event-related decisions. ● Work closely with the Catering Manager and Chef/Culinary Team to develop and draft menus for private events, member events and club functions. ● Understand menu pricing, food and beverage packages, labour considerations and event-related costs.
● Identify opportunities to recommend upgrades, additional services and appropriate food and beverage options based on the client’s needs. ● Maintain knowledge of food ingredients, menu items, dietary restrictions, wines, spirits, cocktails and bar service. ● Assist with event billing, event updates, administrative records and other catering documentation. ● Coordinate smaller member and private events independently when assigned.● Act as a point of contact for clients or members during assigned events. ● Work closely with the Culinary Team, Catering Manager, Banquet Supervisor and service staff to ensure event requirements are executed correctly. ● Conduct pre-event checks of rooms, tables, linens, place settings, bars, signage and other event details. ● Provide hands-on operational support during events, including assisting with floor service, setup, breakdown and bar operations when required. ● Support the Catering Manager during large-scale events, weddings and high-volume club functions. ● Assist with internal event promotions, menus, signage and basic event materials using Canva or similar design platforms. ● Maintain a professional, welcoming and service-oriented presence when interacting with members, guests and clients. ● Perform other catering and event-related duties as required.
Qualifications & Experience
● Previous experience in event planning, catering, banquets, hospitality or food and beverage operations is required. ● Previous experience in a client-facing or member-facing hospitality role is strongly preferred. ● Previous administrative experience involving event coordination, bookings, documentation, BEOs, reservations or similar responsibilities is required. ● Demonstrated understanding of food and beverage service, including menus, ingredients, beverage packages, bar operations and event service standards. ● Experience working on the floor in a restaurant, banquet, catering, hotel,
private club or similar hospitality environment. ● Ability to coordinate and oversee smaller events independently. ● Solid verbal and written communication skills, including professional email communication. ● Comfortable discussing menus, pricing, packages and event options with clients and members. ● Ability to confidently make recommendations, promote appropriate upgrades and identify upselling opportunities without compromising the guest experience. ● Strong organizational skills and ability to manage multiple events, deadlines and operational priorities simultaneously. ● Strong interpersonal skills with a professional, pleasant, confident and approachable personality. ● Ability to communicate effectively with clients, members, culinary teams, service teams and management. ● Comfortable working in both administrative and operational environments. ● Basic proficiency with Microsoft Office or similar business applications. ● Experience with Canva or similar design software is considered an asset. ● Experience in a private club environment is considered an asset.
Availability & Operational Requirements
● Must be available to work a flexible schedule based on event and operational requirements. ● Availability may include weekdays, early mornings, evenings, weekends and holidays. ● Must be available to support major events and high-volume banquet periods. ● Must be willing and able to work both in the catering office and operational areas, including banquet rooms, restaurants, patios and bars as required. ● The position requires regular interaction with members, clients, guests and staff and therefore requires a high level of professionalism, communication and service awareness.
