Position Overview
Norwest Drywall Ltd. is looking for an experienced, hands-on Construction Office Manager / Bookkeeper to become a key part of our management team. This is not simply a bookkeeping position. We are looking for someone who understands the financial and administrative side of construction and can help ownership manage the day-to-day operation of the business.
The right person will act as a key link between ownership and the office team, take initiative, improve accountability, establish better processes and procedures, and make sure important financial and administrative tasks are completed accurately and on time.
Key Responsibilities
· Oversee day-to-day accounting, bookkeeping and general office administration.
· Manage payroll and ensure accurate and timely payroll processing.
· Prepare and manage WSIB reporting, union remittances and other required construction-related remittances.
· Oversee accounts payable, accounts receivable, collections and cash-flow reporting.
· Maintain accurate job costing and help management understand job performance and profitability.
· Understand and administer construction contracts, purchase orders, change orders/extras, progress billings and holdbacks.
· Track job extras from identification through pricing, approval, billing and collection.
· Work with project and office staff to ensure job information is entered accurately and consistently.
· Assist ownership with financial reporting, budgeting, forecasting and management information.
· Develop, document and improve internal processes, procedures and controls.
· Create accountability and follow-up systems so important tasks do not fall through the cracks.
· Help organize and manage the office team and act as a point of coordination between ownership and staff.
· Identify inefficiencies and proactively recommend better ways to operate the business.
· Support ownership with the daily management of the company and help build systems that allow the business to grow.
Construction & ERP Experience
Construction experience is important for this role. The successful candidate should understand how a construction subcontractor operates, including job costing, contracts, extras/change orders, billing, holdbacks, payroll and project-related accounting.
Norwest uses Plexxis construction ERP software. Direct Plexxis experience is an asset, but candidates with strong experience using other construction ERP/accounting platforms are encouraged to apply.
What We’re Looking For
· Strong bookkeeping/accounting background with the ability to understand the financial picture of the business.
· Previous experience in construction, ideally with a contractor or subcontractor.
· Experience with payroll, WSIB, union remittances and construction accounting.
· Strong understanding of job costing, contracts,
extras/change orders, progress billing and holdbacks.
· ERP experience; Plexxis experience is a strong asset.
· Excellent organizational skills and attention to detail.
· Strong communication skills and the confidence to work with ownership, office staff, project managers and outside professionals.
· A process-oriented mindset with the ability to create and implement procedures.
· A self-starter who takes ownership, follows through and solves problems without needing constant direction.
· Ability to prioritize, hold people accountable and keep multiple areas of the business moving.
The Person Who Will Succeed Here
We are looking for someone who wants responsibility and enjoys making a business run better. You should be comfortable getting into the details when necessary while also seeing the bigger picture. The goal is to bring in someone ownership can rely on to take control of the office and financial administration, improve systems, support the team and help Norwest continue to evolve.
