Your Prospect:

Reporting directly to the Senior Operating Officer (SOO), Forensic Psychiatry and Correctional Health Services (FPCHS), the Executive Administrative Assistant (EA) is an advanced position that supports the SOO and the Senior Medical Director (SMD), and is responsible for carrying out program issues management and coordination to support the SOO, while providing overarching coordination and support to the executive office of the SOO, the SMD and the Forensic Psychiatry and Correctional Health Services team. The EA acts as a conduit and liaison between the provincial Executive Leadership Team, Executive Portfolio Team, and all other departments, divisions, and government portfolios by working closely with executive leaders and respective administrative staff, corporate staff and executive administrative staff. Working with minimal guidance the position is responsible for working on short and long-term assignments including grant administration, quality improvement/assurance, legal, performance monitoring and a variety of program issues. The EA identifies support requirements and provides executive coordination which includes recommendations to leadership and taking independent action. The EA oversees administrative tasks such as calendar management, preparing materials, meeting preparations and support, information management, communication, and program issues to provide high level and comprehensive administrative functions for the Senior Operating Officer. In addition, the EA works with the SOOs direct reports and their respective administrative staff to support on-going needs.

Description:

Navigates across Recovery Alberta and Forensic Psychiatry and Correctional Health Services administrative systems and processes to coordinate all assignments and action requests by organizing, planning, and prioritizing work across multiple complex areas within the portfolio. Acts as an informal resource for colleagues,



may direct the work to other staff members on behalf of the SOO and/or leadership team, and explains difficult requirements to others. Supports SOO to provide ongoing basic monitoring and forecasting of the budget. Designs operational processes for use and support across portfolio specific to reporting requirements, team organization, project management supports (e.g., info processing). Investigates, makes recommendations and takes action to support portfolio initiatives, including coordination, preparation, compilation and summarization of background information (e.g., report development – completion and coordination).

Required Qualifications: A minimum of a high school completion with four years of progressively responsible related experience is required. The incumbent will demonstrate a clear pattern of professional and personal development.

Additional Required Qualifications: Possess a working knowledge of Recovery Alberta systems and processes; general office policies and procedures, including, but not limited to financial policies, human resource and expense claim systems. Expertise in MS Office Software, including Outlook, Excel, Word, and Powerpoint.

Experience in the Resource Management System including recruitment, performance reporting, and budgetary accountability. Proficiency with e-People, SharePoint, Markview, and iExpense.

Preferred Qualifications: Completion of post-secondary education (e.g. certificate in office or business administration).
