e3 Ministry Canada is a Canadian charitable organization with a growing team of approximately 30 staff and a global ministry impact. We are seeking an experienced and highly organized Finance Manager to provide leadership and oversight for the financial operations of e3 Ministry Canada. Reporting directly to the Executive Director, the Finance Manager will serve as the organization's primary financial leader and will work closely with leadership, finance staff, ministry staff, external accountants, auditors, banks, and service providers.
This position combines financial leadership and oversight with selected hands-on accounting responsibilities.
The Finance
Manager will help ensure strong financial stewardship, accurate reporting, regulatory compliance, appropriate internal controls, and effective financial systems across the organization.
Key Responsibilities
Financial Leadership & Reporting
- Prepare and review monthly financial statements and management reports.
- Meet regularly with the Executive Director to review the organization's financial position and financial reports.
- Monitor organizational financial health, cash flow, fund balances, and overall financial performance.
- Develop annual budgets and financial forecasts in consultation with the Executive Director.
- Provide financial analysis, recommendations, and decision-making support to leadership.
- Prepare financial reports for the Executive Director, Board of Directors, and Senior Leadership Team.
- Monitor ministry fund balances using both accounting records and the organization's Donor Relationship Management system.
Accounting Operations
- Oversee and participate in day-to-day accounting activities.
- Review accounts payable and accounts receivable transactions.
- Review staff expense reports, corporate card transactions, and other accounting transactions for accuracy and appropriate financial treatment.
- Complete and oversee month-end processes and required accounting adjustments.
- Assist with bank reconciliations and financial record maintenance.
- Oversee wire transfers and banking activities.
- Ensure accounting records remain complete, accurate, and up to date.
- Oversee inventory accounting processes, including quarterly counts, valuations, promotional items, and related QuickBooks Online entries.
- Prepare quarterly inventory valuation reports and ensure appropriate accounting transactions are recorded.
Payroll & Human Resources Support
- Oversee payroll administration and payroll compliance.
- Oversee payroll processing and required remittances.
- Review and oversee Records of Employment (ROEs), as required.
- Coordinate payroll and compensation changes with Human Resources.
- Ensure compliance with applicable CRA payroll requirements.
Donor & Fund Administration
- Oversee donor receipting and donation administration.
- Ensure donor-restricted and designated funds are administered appropriately.
- Review and monitor the organization's Donor Relationship Management (DRM) system to ensure donor and financial data remain accurate.
- Identify and address data integrity issues involving donations, merchandise sales, qualified donees, event donations, and other transactions.
- Monitor financial integrations between donor management and accounting systems.
- Support ministry leaders with financial reporting and ministry fund management.
- Oversee ministry fund transfers and international financial transactions using the organization's internal DRM system.
- Monitor website merchandise sales and related financial workflows.
Compliance, Audit & Regulatory Reporting
- Coordinate preparation for the organization's annual audit.
- Gather, organize, and prepare documentation required by auditors.
- Work with the Executive Director and Finance team to respond to audit requests and questions.
- Assist with preparation of the T3010 Registered Charity Information Return and other regulatory filings.
- Prepare and oversee GST/HST rebate applications.
- Maintain appropriate internal controls and segregation of duties.
- Help ensure compliance with CRA requirements and organizational financial policies.
Financial Systems & Process Management
- Oversee QuickBooks Online entries and ensure accounting systems and connected financial systems operate accurately.
- Complete or oversee monthly financial validation processes, including donations, inventory, chequing accounts, clearing accounts, and other relevant accounts.
- Ensure financial information is accurate and harmonized across QuickBooks Online, the DRM system, banking records, and related systems.
- Maintain solid financial data integrity across all systems.
- Identify opportunities to improve financial processes, workflows, and efficiency.
- Develop and maintain finance policies, procedures, and Standard Operating Procedures.
- Ensure established finance procedures are consistently followed.
Leadership & Team Support
- Provide guidance, direction, and support to bookkeeping and finance staff.
- Review bookkeeping work and help ensure its accuracy and completeness.
- Coordinate with external accountants, auditors, financial institutions, contractors, and service providers.
- Communicate regularly with the Executive Director regarding the organization's financial position, systems, risks, and financial priorities.
- Train staff on finance policies and procedures where required.
- Help foster a culture of stewardship, accountability, service, accuracy, and excellence.
The Finance Manager may supervise a Bookkeeper, Finance Coordinator,
contractors, and external accounting providers. Qualifications & Experience The ideal candidate will bring a combination of strong accounting knowledge, nonprofit financial experience, leadership ability, attention to detail, and a commitment to responsible stewardship.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Approximately 3 years of relevant experience in accounting, bookkeeping, finance management, or nonprofit finance.
- Experience working with a Canadian charity or nonprofit organization is strongly preferred.
- Strong understanding of accounting principles, financial management practices, and sound financial controls.
- Knowledge of Canadian nonprofit and charitable financial requirements.
- Experience with budgeting, financial reporting, payroll administration, audit preparation, and regulatory compliance.
- Strong analytical, critical-thinking, and problem-solving skills.
- Advanced proficiency in Microsoft Excel.
- Experience with QuickBooks Online.
- Ability to quickly learn and effectively use e3 Canada's internally managed Donor Relationship Management (DRM) system and other financial technologies.
- Strong organizational, planning, and project-management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to exercise sound judgment and handle confidential financial information with discretion.
- Ability to work independently while collaborating effectively with leadership and other team members.

Compensation & Work Environment
- Employment Type: Full-time, Permanent
- Work Arrangement: Hybrid
- Hours: Flexible, approximately 25–40 hours per week
- Compensation: $70,000–$90,000 CAD annually, based on qualifications, experience, and agreed-upon hours
- Vacation: Three weeks paid vacation
