About SciVest

SciVest Capital Management Inc. is an independent Canadian investment management firm providing discretionary portfolio management and wealth management solutions to individuals, families and institutional clients.

As our client base continues to grow, we are looking for an experienced financial services professional to join our downtown London team.

The Opportunity

We are seeking a Financial Planning & Client Service Associate to support our growing wealth management business.

The role will be approximately a 50/50 combination of financial planning support and client administration/onboarding, with responsibilities evolving based on the successful candidate’s experience and capabilities.

Our immediate need is for someone who can help manage the financial planning and administrative requirements associated with new clients — gathering information, assisting with financial plans, opening and transferring accounts, preparing documentation and helping ensure a smooth onboarding process.

Over time, there is an opportunity to assume greater responsibility for financial planning and client relationship management.

This role is well suited to someone who is highly organized, detail-oriented, technologically capable and comfortable working in a growing, entrepreneurial investment management firm.

Key Responsibilities

- Assist with the preparation and maintenance of client financial plans
- Gather, organize and enter client financial and investment information
- Support new-client onboarding and account opening
- Prepare and process investment account documentation
- Coordinate investment account transfers and follow up with custodians and financial institutions
- Maintain accurate client records and Know Your Client (KYC) information
- Process deposits, withdrawals and other client account requests
- Prepare materials for client meetings and assist with follow-up

- Monitor outstanding documentation and onboarding requirements
- Communicate with clients regarding documentation, account administration and financial planning information
- Support portfolio managers and other members of the SciVest team
- Work with financial planning, CRM, portfolio management and document-management systems
- Help improve internal processes through technology and automation

The position will involve some direct client interaction, although the majority of the role will initially focus on financial planning and administrative support.

Qualifications

Required:

- Minimum 3 years of financial services industry experience, with more extensive experience considered an asset
- Familiarity with investment accounts, financial services terminology and client administration
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- A high degree of computer literacy
- Robust proficiency with Microsoft Office, particularly Word, Excel and Outlook
- Ability to learn new financial and technology systems quickly
- Ability to manage multiple priorities and client files
- Ability to work independently and take ownership of tasks through completion
- Professional judgment and discretion when handling confidential client information

Preferred Experience Experience in one or more of the following areas would be particularly valuable:

- Financial planning or financial plan preparation
- Wealth management or investment management client service
- Client onboarding and investment account administration
- Registered and non-registered investment accounts
- Investment account transfers

- KYC documentation
- CRM, financial planning or portfolio-management software
- Working within a regulated Canadian financial services organization

Financial planning, investment or securities industry education and qualifications — including the CFP, QAFP, CIM, CSC or similar credentials — would be considered an asset but are not required. Who We Are Looking For

We are particularly interested in someone who:

- Has solid financial services experience
- Is exceptionally comfortable with computers and technology
- Learns new systems and processes quickly
- Enjoys both financial planning and detailed administrative work
- Takes ownership of responsibilities and works well independently
- Is meticulous when dealing with client information and documentation
- Communicates professionally and comfortably with clients
- Enjoys solving problems and improving processes
- Works well in a collaborative, entrepreneurial small-firm environment
- Would like to develop into a larger financial planning and client relationship management role as the firm grows
