GIGG Express is seeking a Fuel & Fleet Administrator to play a key role in managing fuel spend across our growing transportation fleet. This position works closely with Operations, Safety, and Finance to monitor fuel usage, identify cost-saving opportunities, ensure compliance, and support efficient fleet operations.
In this role you will be issuing and maintaining fleet cards, monitor fuel transactions and identify opportunities to improve compliance, reduce unnecessary fuel costs, and support operational efficiency. You'll help ensure fuel spending remains accurate, compliant, and cost-effective while supporting the success of our drivers and operations team.
Experience Required: 2+ years in transportation or trucking industry, fleet administration & fuel card management and dispatch support
Duties:
- Administer the company's fleet card program, including issuing, replacing, suspending, and cancelling cards.
- Maintain accurate records of fleet card allocations, vehicles, and driver information.
- Monitor fleet card transactions/fuel purchases and identify unusual or non-compliant spending.
- Investigate fuel exceptions, unauthorized purchases, and potential fraud and report.
- Reconcile fleet card statements against invoices and internal records.
- Investigate and resolve transaction discrepancies and card-related queries.
- Prepare regular reports on fleet card usage, fuel expenditure, and compliance.
- Liaise with fleet card providers, suppliers, and internal stakeholders to resolve issues efficiently.
- Ensure compliance with company policies, procedures, and audit requirements.
- Work as a member of the Safety & Compliance Team – and assist with related duties when required
Qualifications and Skills:
- Previous experience in fleet management systems role.
- Strong attention to detail with excellent organizational and time management skills.
- Proficiency in Microsoft Office, particularly Excel including VLOOKUP, Pivot tables, filtering and data analysis.
- Experience with data entry, reconciliation, and reporting.
- Able to identify unusual spending patterns and discrepancies.
- Strong analytical and problem-solving skills.
- Effective communicator with drivers, vendors, and managers
- Ability to work independently while managing multiple priorities.
- Certificate or diploma in Business Administration, Accounting, Logistics, or a related field is desirable.
- Knowledge of fuel pricing, fuel tax regulations, and trucking industry operations is preferred.
