Position Summary The Human Resources Administrator provides administrative and operational support to the Human Resources department across the full employee lifecycle. This role is responsible for maintaining employee records, supporting recruitment and onboarding activities, administering HR systems, coordinating employee communications, and ensuring compliance with organizational policies and employment legislation.

The ideal candidate is highly organized, detail-oriented, customer-service focused, and capable of handling confidential information with professionalism and discretion.

Key Responsibilities

Recruitment & Onboarding

- Assist with recruitment activities including posting vacancies, scheduling interviews, and communicating with candidates.
- Prepare employment agreements, offer letters, and onboarding documentation.
- Coordinate pre-employment requirements, including reference checks, background checks, and documentation collection.
- Facilitate new hire onboarding and orientation processes.
- Maintain accurate recruitment records and candidate files.

· Coordinate interview schedules with candidates, hiring managers, and panel members.

HR Administration

- Maintain employee personnel files and electronic HR records.
- Process employee status changes, including new hires, transfers, promotions, leaves of absence, and terminations.




- Ensure employee data within HRIS and payroll systems is accurate and up to date.
- Generate reports and HR metrics as required.
- Support annual HR initiatives, including performance reviews and employee engagement activities.

Benefits & Leave Administration

- Assist employees with benefit enrollment and changes.
- Coordinate benefit and pension documentation with service providers.
- Track employee leaves, return-to-work documentation, and accommodation records.
- Respond to employee inquiries regarding benefits and HR policies.

Employee Relations Support

- Provide frontline support for employee questions regarding policies, procedures, and HR programs.
- Assist with employee relations and labor relations matters, including documentation, grievance preparation, investigations, and meeting coordination as directed.
- Prepare correspondence and maintain confidential records.

Compliance & Records Management

- Ensure compliance with employment legislation, workplace policies, and collective agreement requirements where applicable.
- Maintain records in accordance with privacy and record-retention standards.
- Support audits and compliance reviews.
- Monitor mandatory training, professional certifications and compliance requirements for employees.
- Support occupational health and safety initiatives, WSIB administration, workplace injury documentation, and return-to-work processes.

General Administrative Support

- Schedule meetings and prepare HR-related documents and reports.
- Assist with employee recognition and wellness initiatives.
- Support departmental projects and continuous improvement initiatives.
- Perform other duties as assigned.

HR Systems & Reporting

- Maintain employee records within ADP Workforce Now and other HR systems.




- Process employee transactions and workflow changes.
- Generate regular and ad hoc HR reports and analytics.
- Support HR data audits and ensure data integrity.
- Troubleshoot employee and manager HRIS inquiries.

Qualifications

Education

- Diploma or degree in Human Resources Management, Business Administration, or a related field.
- CHRP designation or progress toward designation is considered an asset.

Experience

- 2 to 3 years of experience in human resources, administration, or a related role.
- Experience using HRIS and payroll systems preferred.
- Experience in a unionized environment is considered an asset.

Knowledge, Skills & Abilities

- Strong knowledge of employment standards, workplace legislation, and HR best practices.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Ability to manage multiple priorities in a fast-paced setting.
- Strong customer service and interpersonal skills.

Working Conditions

- Primarily office-based with occasional attendance at organizational meetings and events.
- Ability to sit and work at a computer for extended periods.

Perform other related duties, projects, and responsibilities as assigned, consistent with the scope and level of the position. Pay: $50,000.00-$55,000.00 per year
