NextGen Immigration is a boutique Canadian immigration consultancy founded and led by Lauren Shannan, a Regulated Canadian Immigration Consultant.
We are committed to providing clients with an exceptional, approachable, and down-to-earth experience. As the practice continues to grow, we are seeking an organized and motivated Legal Administrative Assistant to work directly with the founder and support the administrative management of client files.
This position is well suited to someone who has previous Canadian immigration experience, enjoys working independently, and would value the opportunity to take meaningful ownership of their work while helping a growing practice develop.
What You’ll Do
- Support the administrative lifecycle of Canadian temporary and permanent residence applications.
- Assist with client onboarding, file opening, and internal file setup.
- Request, collect, organize, and save client information and supporting documents.
- Review files for administrative completeness and identify missing information or documentation for follow-up.
- Prepare immigration forms and routine correspondence under the direction of the RCIC.
- Maintain accurate and organized electronic client files.
- Update case-management systems and task-tracking platforms.
- Monitor application deadlines, document expiry dates, and outstanding client requirements.
- Communicate with clients by email and telephone regarding documents, appointments, and administrative updates.
- Schedule consultations and client appointments.
- Compile and upload application packages for final review and submission.
- Assist with general business and administrative tasks, as required.
What You Need
- At least one year of experience in Canadian immigration administration or immigration application processing.
- Experience preparing Canadian immigration forms and organizing supporting documentation.
- Strong attention to detail and the ability to identify missing or inconsistent information.
- Excellent written and verbal communication skills.
- Robust organizational and time-management skills.
- The ability to manage multiple files, priorities, and deadlines.
- The ability to work independently and communicate proactively in a remote environment.
- Proficiency with Microsoft Office, Adobe Acrobat, cloud-based file systems, and case-management or task-management software.
- Compassion, professionalism, and an understanding of the importance of the work we do for our clients.
- A proactive attitude and willingness to learn and grow with the practice.
An RCIC licence is not required for this position.
