General Purpose:
The Membership Coordinator supports the end-to-end membership journey, from initial inquiry and tour through application, onboarding, engagement, and retention. The role combines responsive membership sales, accurate administration, and welcoming member service, ensuring each interaction communicates the community and value of membership at Pitt Meadows Golf Club. Working collaboratively across Club departments, the Coordinator provides consistent follow-through, clear information, and an inclusive, friendly, and professional experience for current and prospective members.
Essential Duties:
Membership Sales & Lead Management
· Own assigned membership inquiries from initial contact through tour, application, and handoff to onboarding, with responsive service, documented next steps, and consistent follow-up.
· Clearly explain membership categories, pricing, benefits, amenities, policies, and the Pathway to Full Play, helping prospective members understand the experience, community, and value of membership.
· Coordinate Club tours with the Membership Sales Director and relevant Club professionals, providing an engaging introduction and ensuring questions and follow-up needs are addressed.
· Maintain an accurate and organized membership pipeline, including lead source, status, follow-up activity, next action, application progress, and lost-business reasons.
· Support membership campaigns, member-referral initiatives, and prospective-member events in collaboration with Communications and other Club departments.
· Track and report on inquiries, tours, applications, conversion, and other agreed objectives; identify trends and recommend practical actions that support sustainable membership growth.
Membership Administration & Onboarding
· Process membership applications and maintain required documentation, billing information, account details,
and member records accurately and within established timelines.
· Coordinate membership category changes, resignations, transfers, waitlists, and other membership-related administrative processes.
· Prepare and maintain consistent membership packages, welcome materials, orientation information, checklists, and related communications.
· Coordinate consistent recent-member onboarding so members understand Club services, programs, the Code of Conduct, course etiquette, dress code, policies, and member expectations.
· Coordinate onboarding information and member needs with Golf Operations, Food & Beverage, Events, Finance, Communications, and other affected teams.
Member Service & Engagement
· Provide welcoming, inclusive, friendly, and responsive service to members, prospective members, and guests, with reliable follow-through.
· Proactively check in with new members during their first year, identify barriers to engagement, and support retention and connection to the Club community.
· Support new-member orientations, receptions, member events, and other activities that strengthen participation and the value of membership.
· Listen to member feedback, resolve routine concerns, and escalate service-recovery or policy matters appropriately.
· Provide concise reporting to the General Manager and Membership Sales Director on the sales pipeline, onboarding, engagement, retention, member feedback, risks, and recommended improvements.
Education/Experience:
The ideal candidate will have:
· Previous experience in membership sales, hospitality, customer service, private clubs, or a comparable member-focused environment.
· Excellent written and verbal communication, presentation, relationship-building, and interpersonal skills.
· Strong organization, accuracy, discretion, attention to detail, and independent follow-through.
· Ability to manage multiple priorities and maintain an organized sales pipeline and member records.
· A cooperative approach and the ability to coordinate effectively across departments without relying on direct reporting authority.
· Experience with Jonas Club Management, Microsoft Office, or customer relationship and membership-management systems is an asset.
· Knowledge of golf and the private or semi-private club industry is an asset.
Working Conditions:
· Primarily office-based, with regular movement throughout the Club while conducting tours, supporting events and orientations, and assisting members.
· Requires frequent interaction with members, prospective members, guests, team members, and Club leadership, along with flexibility for occasional evenings or weekends based on tours, orientations, events, and Member Services coverage.
Days/Hours of work, anticipated Tuesday to Saturday. Flexible to accommodate tours and events.

Pay: $55,000.00-$70,000.00 per year
