About the Role
We're looking for a Patient Care Coordinator ready to take real ownership of our clinic. This isn't a role where you just answer phones and file paperwork, it's the position that sets the rhythm of the entire office. As PCC, you'll own the schedule, drive the patient experience from first call to follow-up, and keep the clinic running like a well-tuned operation. You'll work closely with our Hearing Care Practitioner and the wider team, but the day-to-day flow of this clinic runs through you.
What You'll Own
Schedule & Capacity Management
- Actively manage and optimize the daily, weekly, and monthly schedule to keep provider time fully and purposefully used.
- Proactively fill cancellations and gaps using waitlists, callback lists, and patient files, rather than waiting for problems to find you.
- Track performance against clinic targets and adjust scheduling strategy to keep the clinic on pace.
Patient Experience
- Serve as the first point of contact for every patient, in person and by phone, setting the tone for their entire visit.
- Guide patients through their journey, from initial inquiry through appointment, follow-up, and ongoing care.
- Build the kind of trust and rapport that turns first-time visitors into loyal, long-term patients.
Office & Financial Operations
- Manage day-to-day administrative work including scheduling, filing, correspondence,
and supply management.
- Process payments, reconcile cash and deposits, and handle insurance claims and eligibility verification accurately and on time.
- Maintain accurate patient records and documentation in compliance with privacy and regulatory requirements.
Community & Growth
- Support local marketing and outreach efforts that build the clinic's presence and reputation in the community.
- Track leads and inquiries from first contact through appointment booking.
- Help open and close the clinic daily, keeping the office professional and welcoming.
What You Bring
- High school diploma or equivalent required.
- 2+ years of experience in office administration, scheduling, sales, or customer service preferred.
- Comfortable working in a metrics-driven environment and motivated by clear goals and targets.
- Strong organizational skills and the confidence to make decisions and solve problems in real time.
- Proficiency in MS Office; experience with scheduling or practice management software is an asset.
- A warm, professional communication style, in person and on the phone.
