Responsibilities
This temporary part time Program Assistant provides dedicated administrative and coordination support to the Work Integrated Learning (WIL) Manager, with a primary focus on the recurring administrative activities that support the delivery of Ivey's internship programs, including the HBA Co-op, MSc Business Analytics Internship, and MBA Internship. Reporting to and taking direction from the WIL Manager, the role ensures that program materials, student communications, records, evaluations, and documentation are prepared, distributed, and maintained with a high level of accuracy and care throughout the internship lifecycle.
A secondary portion of the role provides flexible administrative overflow support to the broader Career Management team during peak internship recruiting periods, as directed by the WIL Manager.
The successful candidate will be highly organized, detail-oriented, service-focused, and comfortable managing multiple priorities and deadlines. The role requires regular interaction with students, faculty, and Career Management team members and plays an important role in ensuring a positive and professional experience for students participating in Ivey's WIL programs.
Qualifications
Education
- Community College Diploma in an administrative field or completion of post secondary education in business, administration
- Previous administrative or office experience is an asset.
- Experience working in a university, student services, or professional services environment is considered an asset.
- Experience supporting work-integrated learning, co-op, or internship programs is considered an asset.
Skills, Abilities & Expertise:
- Robust organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Exceptional attention to detail and commitment to maintaining accurate information and records.
- Strong customer-service orientation and ability to interact professionally with students, faculty, and colleagues.
- Clear and professional written and verbal communication skills.
- Demonstrated ability to follow established processes while recognizing situations that require escalation.
- Ability to work independently on recurring tasks while contributing effectively within a collaborative team environment.
- Strong judgment and discretion when handling student and confidential information.
- Demonstrated reliability and ability to follow through on assigned tasks.
- Comfortable working in a fast-paced environment with periods of high-volume activity.
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Experience with learning management systems (e.g., Brightspace/Learn) and survey tools (e.g., Qualtrics) is considered an asset.
- Ability and willingness to learn new technologies and systems.
