PLEASE NOTE
This position is structured as an Independent Contractor agreement and is not an employee role. The successful candidate will operate as a self-employed professional responsible for managing their own statutory obligations in accordance with Alberta and federal regulations.
This role is structured on a full-time contract basis for a term of 12 months, with the possibility of extension (anticipated 35-40 hours per week equivalent, maximum of 160 hours per month). Occasional evening or weekend hours may be required for planning sessions, board meetings, or reporting deadlines.
Summary
Chestermere Women’s Crisis Society (CWCS) is dedicated to supporting women and families in crisis by providing essential resources, advocacy, and emergency assistance. Our mission is to empower survivors, raise awareness, and foster a safer, more supportive community.
To support the continued growth and sustainability of our services, we are seeking qualified Independent Contractor as Program Coordinator. This is a hands-on role with responsibility for owning CWCS programs and day-to-day organizational operations. The Program Coordinator translates Board-approved direction into effective programs, systems, partnerships, and results while remainingconnected to the needs of clients and the community.
Primary Responsibilities:
Program Coordination
- Lead the development, implementation, evaluation, and continuous improvement of CWCS programs and services.
- Maintain a strong working knowledge of CWCS’s programs, service delivery model, community context, and client needs.
- Set program work plans, timelines, service standards, outcome measures, and implementation priorities within Board-approved direction and available resources.
- Monitor program performance, analyze service and outcome data, and use findings and client feedback to recommend and implement improvements.
- Coordinate the people, training, materials, communications, and resources required for consistent and effective program delivery.
Grants Financial Management and Community Partnerships
- Own the grant process from start to finish, including opportunity research, eligibility assessment, applications, program budgets, agreements,
tracking, reporting, and compliance with funding requirements.
- Work with the Treasurer and Board to develop and monitor program and grant budgets, forecast resource needs, track spending, and explain material variances while the Board retains financial oversight.
- Maintain and develop relationships with funders, referral partners, service providers, community organizations, and other stakeholders.
- Represent CWCS at relevant collaborative tables, meetings, presentations, outreach activities, and community events.
- Identify partnership, funding, service-development, and organizational-growth opportunities and bring recommendations to the Board.
Additional Responsibilities:
Operational Support
- Develop, maintain, and improve internal systems, workflows, procedures, program materials, and records.
- Provide regular program and operational reports to the Board, including progress, outcomes, resource needs, emerging risks, and recommendations.
- Monitor compliance with applicable nonprofit requirements, funder obligations, privacy legislation, and CWCS policies; promptly escalate material issues to the Board.
- Support organizational planning and decision-making by identifying operational gaps, opportunities, and practical solutions.
- Maintain secure, accurate, and organized digital files and databases, including client and volunteer records, in accordance with applicable privacy requirements.
Client Services Support
- Maintain direct involvement in client intake, crisis/help line coverage, and service coordination as operational needs require.
- Provide trauma-informed crisis support, safety planning, advocacy, information, referrals, and practical assistance within CWCS policies and the scope of the role.
- Respond to client needs within established guidelines and escalate urgent, high-risk, or complex concerns appropriately.
- Coordinate client follow-up and use service experience and feedback to inform program development and improvement.
- Maintain accurate, timely, and confidential client documentation in accordance with privacy legislation and organizational standards.
Undertake other related leadership, program, and operational work within the scope of the contract and as agreed with the Board.
Required Skills & Qualifications:
- Minimum 3 years of experience in in program development and delivery, nonprofit or social-service operations, grants, team coordination, or organizational growth.
- Demonstrated ability to take ownership of programs and day-to-day operations, move priorities from planning to implementation, and work with a governance Board.
- Strong experience managing the full grant cycle, including research, persuasive applications, budgets, tracking, reporting, and funder compliance.
- Experience developing program budgets, monitoring spending, forecasting needs, and communicating financial information to decision-makers.
- Understanding of trauma-informed, client-centered, culturally responsive, and strengths-based practices.
- Experience building community partnerships and representing an organization with funders, agencies, and collaborative groups.
- Strong leadership, judgment, analytical, organizational, project-management, documentation, and problem-solving skills.
