Trim It All Inc. is looking for a highly organized, proactive, and dependable Project Coordinator to join our installation operations team in Ottawa.
This is a key coordination role working directly under the Site Install Manager. The successful candidate will help keep installation projects organized, prepared, documented, and moving forward from scheduling through final completion.
We are looking for someone who takes ownership, follows through, communicates well, and is comfortable managing multiple active projects at once.
Salary
$50,000 to $65,000 per year, depending on experience
Key Responsibilities
Project and Material Coordination
- Review project paperwork, purchase orders, work orders, plans, and customer requirements before installation
- Coordinate and verify that required materials are prepared, delivered, and available on site when needed
- Compare material requirements against customer purchase orders and project documentation
- Identify missing, incorrect, damaged, or outstanding material before it causes installation delays
- Communicate with the Site Install Manager, installers, subcontractors, warehouse staff, suppliers, customers, site supervisors, and other departments as required
- Help ensure upcoming installations are properly prepared before crews are scheduled to attend site
- Assist with resolving site readiness, material, paperwork, and scheduling issues
Inspection Reports and Project Closeout
- Collect and review inspection reports following completed installations
- Ensure reports are complete and properly documented
- Identify deficiencies, incomplete work, missing material, warranty concerns, or other outstanding items
- Turn outstanding inspection items into clear action items and direct them to the appropriate person or department
- Track deficiencies and action items through to completion
- Follow up with installers, subcontractors, suppliers, customers,
and internal departments to ensure outstanding work is completed
- Coordinate return visits, service work, deficiency repairs, and required material
- Confirm completed items have been properly addressed before closing the project
Project Tracking and Communication
- Maintain organized records for active and completed projects
- Keep the Site Install Manager updated on project status, deficiencies, material issues, delays, and items requiring escalation
- Maintain accurate tracking of outstanding work and upcoming requirements
- Proactively follow up on open items rather than waiting for issues to become urgent
- Help improve internal systems and processes related to installation reporting, material coordination, deficiencies, and project closeout

- Ability to identify problems, determine the next appropriate action, and follow through until resolved
- Comfortable working independently while communicating priorities and issues to the Site Install Manager
Preferred Experience Previous experience in construction, project coordination, installation services, scheduling, estimating, service coordination, deficiency management, or a related field is considered a solid asset.
Experience working with residential builders, trades, subcontractors, construction sites, or interior finishing would also be an asset.
The Ideal Candidate The ideal candidate is someone who likes keeping things organized and making sure nothing falls through the cracks.
You understand that a project is not complete simply because the installation crew has left the site. Outstanding material, deficiencies, inspections, return visits, and customer requirements all need to be tracked and completed.
You are comfortable following up with people, asking questions, solving problems, and keeping multiple projects moving at the same time.
This role is well suited for someone who wants to take ownership of their work and become an important part of a growing construction and installation operation.
