The Purchasing Coordinator plays a key role in supporting the procurement and supply chain operations of the company. This position is responsible for sourcing materials, managing vendor relationships, and ensuring timely and cost-effective purchases. The ideal candidate will have strong analytical skills, a high level of accuracy, and the ability to interpret data to support smart purchasing decisions and optimize inventory management.
Key Responsibilities
Purchase Order (PO) Management
- Review internal purchase requests and convert them into purchase orders.
- Issue and confirm POs with suppliers, ensuring correct pricing, quantities, and lead times.
- Track open orders and update the ERP system with order statuses and expected delivery dates.
Supplier Communication
- Coordinate daily with suppliers to confirm order details and shipping schedules.
- Address any issues with product availability, delays, or changes to orders.
- Build strong supplier relationships to ensure responsiveness and reliability.
Inventory Monitoring
- Monitor inventory levels and reorder points to initiate timely purchases.
- Work with warehouse teams to reconcile inventory discrepancies and support restocking needs.
- Forecast material requirements based on production schedules and usage trends.
Cost Control &
- Pricing
- Source competitive quotes and evaluate supplier offers.
- Track and update pricing changes to maintain accurate product costing.
- Assist in identifying cost-saving opportunities and supplier consolidation.
Support for Quality Control Department
- Coordinate with the Quality Control team to ensure materials received meet specifications and quality standards.
- Communicate supplier quality issues and coordinate returns or replacements.
- Maintain documentation related to product certifications, quality reports, and non-conformance reports.
- Assist in supplier evaluations by providing delivery and quality performance data.
Documentation &
- System Maintenance
- Maintain accurate records of purchase orders, contracts, supplier communications, and quality-related documents.
- Enter and update procurement and quality data in the ERP or purchasing system.
- Ensure documentation is complete and audit-ready.
Internal Coordination
- Collaborate with operations, production, finance, and quality teams to align procurement activities with business needs.
- Provide updates on delivery status, supplier issues, and product availability.
Invoice &
- Payment Support
- Match invoices with purchase orders and delivery notes for accuracy.
- Resolve discrepancies and liaise with the finance department to ensure timely payments.
Reporting &
- Analysis
- Generate daily or weekly reports on purchasing activity, open orders, and supplier performance.
- Track key procurement metrics such as on-time delivery, cost variances, and quality-related issues.
Other Tasks as Assigned
- Assist with special projects, audits, or departmental initiatives as directed by management.
- Support cross-functional teams or cover for team members during absences.
- Continuously adapt to changing business needs and priorities.
Qualifications
- Associate’s or bachelor’s degree in Business, Supply Chain, Logistics, or a related field preferred.
- 2+ years of experience in purchasing, procurement, or supply chain coordination.
- Solid analytical skills with the ability to interpret data, identify trends, and make recommendations.
- Proficient in Microsoft Excel (pivot tables, formulas, charts) and other Office applications.
- Experience with ERP or inventory management systems is highly preferred.
- Excellent communication and negotiation skills.
- Strong attention to detail, time management, and organizational skills.
- Ability to multitask and adapt to changing priorities in a fast-paced environment.
Preferred Skills
- Experience in [insert industry, e.g., manufacturing, retail, construction, etc.].
- Familiarity with data analysis tools or procurement software.
- Basic understanding of financial principles related to purchasing and inventory costing.
Pay: $55,000.00-$60,000.00 per year
