The Receptionist serves as the first point of contact for patients and supports the smooth operation of the surgical clinic through administrative and clerical tasks.
Key Responsibilities:
Front Desk Operations:
- Greet and check in patients in a professional and friendly manner.
- Answer phone calls and redirect calls as needed.
- Schedule, confirm, and manage patient appointments using the EMR system
Patient Coordination:
- Collect and verify patient demographic.
- Distribute and assist with completing forms such as medical history, consent, and intake forms.
- Direct patients through the clinic workflow.
Administrative Support:
- Maintain accurate and organized patient records in the EMR.
- Process referrals, faxes, and correspondence.
- Prepare patient charts, documentation and filing.
Clinic Organization:
- Maintain cleanliness and organization of the front desk and waiting area.
- Ensure privacy and confidentiality in all patient interactions and documentation.
This role is essential for ensuring efficient clinic flow, providing excellent patient service, and supporting both clinical and administrative teams.
Requirements:
Education
- Medical Office Administration (MOA) Diploma / Medical Office Assistant / Unit Clerk (all are preferred but not required)
- Relevant experience valued over formal education
- No degree or diploma is necessary
Experience
- 1-2 years of customer care / patient care experience is preferred but not required
Hard Skills
- Proficient in Electronic Medical Records (EMR) systems for scheduling and documentation
- Skilled with patient appointment scheduling, confirmation, and management
- Ability to collect, verify, and input patient demographic and insurance information accurately
- Experience handling and processing medical forms (e.g., consent, intake, history forms)
- Proficient in managing referrals, faxes, and professional correspondence
- Basic document preparation and filing (physical and electronic)
- Familiarity with phone systems and call routing procedures
- Competent in maintaining and organizing patient charts and records
- Knowledge of medical office workflow and front desk operations
- Understanding of patient confidentiality regulations (e.g., HIPAA)
- Basic computer literacy (e.g., MS Office Suite: Word, Excel, Outlook)
- Ability to operate standard office equipment (e.g., scanner, copier, fax machine)

- Strong interpersonal and communication skills for friendly and professional patient interactions
- Excellent organizational skills to maintain accurate records and manage scheduling efficiently
- Ability to multitask and prioritize duties in a fast-paced clinic environment

- Problem-solving skills to address scheduling conflicts or patient concerns calmly
- Teamwork and collaboration to support clinical and administrative staff effectively
- Attention to detail for verifying patient demographics and processing documentation accurately
- Adaptability to handle varying tasks such as phone calls, patient check-ins, and administrative duties
- Professionalism and a welcoming demeanor to create a positive first impression of the clinic
Licences and/or Certifications
- Medical Office Assistant (MOA) Certification and/or equivalent is preferred but not required
Pay: $18.00-$22.00 per hour Expected hours: 36.0 – 40.0 per week
