Overview

We are seeking an experienced Warehouse & Tenant Operations Manager to oversee shared dry, cooler, and freezer warehouse spaces.

The role includes managing customer companies, monitoring payments, maintaining occupancy, and coordinating daily warehouse operations.

The successful candidate will also help attract new companies, maintain strong client relationships, and support the efficient and profitable use of warehouse space.

Duties

- Manage the daily operation of the shared warehouse, including dry storage, coolers, and freezer areas.
- Monitor all tenant/customer companies using warehouse space and make sure they follow warehouse rules and assigned storage areas.
- Maintain an updated record of each company, including allocated space, pallets, storage type, contract terms, rates, deposits, and payment status.
- Monitor monthly storage charges, additional service charges, overdue invoices, deposits, and outstanding balances.
- Follow up with companies regarding late or missing payments and report serious payment issues to management.
- Coordinate with accounting to verify invoices, payments, credits, and customer balances.
- Monitor warehouse capacity and identify available dry, cooler, and freezer space.
- Find new companies to rent available warehouse space and replace companies that leave or do not meet business requirements.
- Communicate with potential customers, explain warehouse services, arrange site visits, prepare quotations, and assist with rental agreements.
- Maintain strong relationships with existing companies and handle complaints, operational issues, storage requests, and service changes.
- Monitor cooler and freezer temperatures and ensure temperature logs are properly maintained.
- Coordinate maintenance and repairs for refrigeration systems, warehouse equipment, doors, loading docks, lighting, racking, and other facilities.
- Ensure cleanliness, pest-control requirements, food-storage procedures, safety rules, and warehouse standards are followed.




- Monitor receiving and shipping activities when they affect shared warehouse customers.
- Control access to warehouse areas and ensure companies or their employees only access authorized locations.
- Maintain contracts, insurance certificates, licenses, company information, emergency contacts, and other required documents.
- Conduct regular inspections of warehouse areas and report damage, misuse of space, safety concerns, or maintenance problems.
- Review warehouse pricing and recommend changes to storage rates or service fees when appropriate.
- Prepare weekly and monthly management reports showing occupancy, available space, outstanding payments, new customers, departing customers, maintenance issues, and operational concerns.
- Work with management to improve warehouse profitability and reduce unused storage space.

Qualifications

- 4+ years of experience in warehouse operations, logistics, distribution, cold storage, or a similar management role.
- Experience managing customer accounts, contracts, invoicing, payment follow-up, and outstanding balances.
- Strong organizational, communication, negotiation, and problem-solving skills.
- Comfortable working with dry storage, cooler, and freezer environments.
- Good computer skills, including Microsoft Excel, email, and warehouse or inventory management systems.
- Ability to manage multiple companies, storage requirements, schedules, and operational priorities.
- Experience in customer retention, business development, or finding new warehouse clients is an asset.
- Knowledge of food-storage, workplace safety, and warehouse compliance requirements is preferred.
- Strong attention to detail and ability to prepare clear operational and financial reports.
- Valid driver’s license and reliable transportation preferred.
