Location: TOC Hunter Valley, Ontario (Warehouse Shipping Office, On-Site)

Reports to: Manager of Operations

Team: Works alongside a second Warehouse Administrator in a shared, co-coverage role

Work Arrangement: On-Site

Salary Range: $50,000 - $55,000

Join Our Warehouse Administration Team!

TOC Logistics is seeking a reliable and personable Warehouse Administrator to join our warehouse and operations team out of our Hunter Valley site. You'll work alongside a second Administrator in a similar co-role; while day-to-day ownership will differ slightly, you'll both know all aspects of the role and support and cover for each other, so teamwork and open communication are essential.

This role keeps inbound and outbound shipments moving on schedule, maintains accurate order and shipping documentation, and ensures clear communication between clients, carriers, and warehouse personnel. We're open to candidates who are newer to warehouse environments — what matters most is people skills, ambition, and reliability. Systems experience of any kind is a strong asset; we'll teach the specifics of our processes and platforms.

Role Purpose

Provide administrative support to the warehouse and operations team by coordinating inbound and outbound shipments, managing scheduling activities, and maintaining accurate order and shipping documentation. Support smooth warehouse flow and efficient labour utilization through proactive scheduling and communication, and ensure timely communication between clients, carriers, and warehouse personnel to maintain solid customer satisfaction and operational efficiency.

Key Responsibilities

Scheduling and Coordination

- Manage and own all inbound and outbound appointment scheduling
- Confirm and communicate daily schedules to the warehouse team in advance, balancing appointment volume against available labour to prevent dock congestion

Order Processing and Documentation
- Enter, create, and close inbound and outbound orders in Synapse (WMS); ensure data accuracy to prevent mis-shipments and support on-time fulfillment




- Prepare and process shipping, receiving, and inventory documents including invoices, packing slips, BOLs, and delivery notes
- Monitor weekly supply levels to ensure operational continuity

Client and Carrier Communication
- Liaise with clients, carriers, transportation providers, and drivers regarding appointments, shipment updates, and order modifications
- Respond promptly to customer inquiries, scheduling changes, and operational requests
- Build positive working relationships with carrier administrators and client planners

Operational and Administrative Support
- Support warehouse staff by resolving administrative issues and maintaining efficient workflow communication
- Assign picking and operational tasks to warehouse team members as directed by operational priorities
- Monitor daily and future work volumes to support labour planning and operational readiness

Systems, Compliance, and Accuracy
- Maintain accurate records and data integrity within the WMS and Microsoft Office systems
- Follow all workplace safety policies, warehouse protocols, and PPE requirements
- Escalate safety concerns, SLA risks, policy violations, and operational disruptions to leadership promptly

What Success Looks Like

0 to 3 Months

- Gain a working understanding of client requirements for scheduling, shipping, and receiving
- Achieve basic proficiency in Synapse: create and enter orders, perform lookups, close orders, and print BOLs and packing lists
- Build relationships with the warehouse team, clients, and carrier contacts
- Operate in Synapse with minimal supervision, with no missed SLAs or client escalations related to scheduling

3 to 6 Months
- Perform all role responsibilities independently, escalating to warehouse leadership for edge cases only
- Demonstrate a strong understanding of order workflow and dock/warehouse team time management
- Communicate daily task requirements and scheduling information with ease and confidence




- Maintain carrier and client satisfaction with on-time deliveries and pickups

6 to 12 Months
- Complete all required tasks without supervision, handling full daily volume and throughput with no errors
- Demonstrate initiative by actively supporting the warehouse team beyond immediate role requirements
- Manage all Synapse order processing, scheduling, and client/carrier communication confidently and independently
- Maintain zero missed orders or data entry errors leading to mis-shipments

Required Experience

- High school diploma required
- Some experience in a warehouse, distribution, or logistics environment is an asset, but is not required, we'll teach the specifics
- Systems experience of any kind (a WMS, ERP, POS, or similar system) is a robust asset; quick learners are encouraged to apply
- Strong people skills, ambition, and reliability. Someone who works well as part of a close, collaborative team
- Proficiency in Microsoft Office (Outlook, Excel, Word)
- Strong written and verbal communication skills in English
- Attention to detail and strong time management; punctual and dependable

Work Environment

- Warehouse and shipping office setting with a mix of steady, reactive, and deadline-driven work, including seasonal peaks and frequent interruptions
- Approximately 50% collaborative, 50% independent work
- PPE is mandatory, MHE traffic is present, regular interaction with delivery drivers is expected, and normal warehouse noise levels apply
- Minimal travel; timing and reliability are critical

This role requires reliability, attention to detail, and consistent follow-through in a structured and fast-paced environment.
