Dream Big Transportation is looking for a Fleet & Workshop Administrator to support our truck and trailer maintenance operations. The successful candidate will work closely with our Workshop Manager and mechanics and will be responsible for keeping parts, PMs, work orders, and other fleet-related records accurate and up to date.
Main Duties & Responsibilities:
- Perform daily parts entry and maintain accurate records of parts used on each truck and trailer.
- Create, update, and close work orders for repairs and maintenance.
- Ensure mechanics' completed work is properly entered against the correct unit and work order.
- Schedule and track Preventive Maintenance (PM) for trucks and trailers.
- Monitor upcoming and overdue PMs and coordinate with the workshop to ensure services are completed on time.
- Maintain complete repair and maintenance history for all fleet equipment.
- Enter labour, parts, repair details, and other maintenance information into the fleet maintenance system.
- Review mechanics' work sheets/diaries and reconcile them with completed work orders.
- Track annual inspections, scheduled services, and other fleet maintenance requirements.
- Maintain parts inventory records and assist with tracking parts received, issued, and used.
- Process and organize repair invoices, parts invoices, purchase records, and vendor documentation.
- Follow up on trucks and trailers sent to dealerships or outside repair facilities.
- Track open repairs,
outstanding defects, and units waiting for parts.
- Assist management with fleet maintenance reports and audit documentation.
- Maintain accurate records for trucks, trailers, and other fleet equipment.
- Perform other fleet and workshop-related administrative duties as required.
Qualifications:
- Previous experience in fleet administration, truck/trailer maintenance, parts, or a workshop environment is preferred.
- Good computer and data-entry skills.
- Experience with work-order or fleet maintenance software is an asset.
- Basic knowledge of truck and trailer parts and maintenance is preferred.
- Strong attention to detail and record-keeping skills.
- Ability to coordinate with mechanics, vendors, drivers, and management.
- Able to manage multiple work orders and maintenance deadlines at the same time.
