We are looking for a skilled and dedicated individual to join the Primary Care Alberta (PCA) provincial referral management program. Reporting to the Manager, the Administrative Support IV position plays a vital role in ensuring the efficient processing of patient referrals. You will work closely with referring providers, specialists, and Medical Office Assistants (MOAs) to manage referrals from the moment they are received in the central access office until they are forwarded to the appropriate specialist for consultation. As an Administrative Support IV, you will collaborate with a team of Registered Nurses (RNs) and other administrative staff to complete referral management, handle data entry, and assist in supporting the patient’s journey from referral to specialist consultation. Your responsibilities will include receiving referrals, collecting and entering data accurately, ensuring the timely distribution of referrals to specialists for a consultation appointment, and communicating effectively with providers and patients through telephone. Additionally, you will play a key role in maintaining standard workflows that promote best practices, improve processing times, and ensure timely referral distribution. Communication with all providers will be key to ensuring an efficient flow of referrals. You will also contribute to process and quality improvement initiatives at the program, department, and zone levels. Grade 12 education minimum and supplemented by a certificate or diploma in Office Administration from a recognized program, or equivalent experience. Knowledge of Medical Terminology. Recent experience, within the last 5 years, in a medical or surgical setting, pre‑admission clinic, referral management, or related field, focused on surgical specialties. Attention to detail and accuracy to ensure that all information is relayed is understood. A minimum typing speed of 50 words per minute. Proficiency in Microsoft Office Suite. Outstanding communication and interpersonal skills to communicate and collaborate clearly, positively, concisely, respectfully, and accurately with healthcare professionals and patients is crucial. Proven ability to work effectively in a high‑stress environment, handling multiple challenges, frequent interruptions, changing workloads, and shifting priorities, all while meeting established deadlines. Physical demands of the job include sitting for extended periods and using repetitive motions. Ability to manage confidential information with discretion in compliance with privacy legislation (e.G., HIA). Demonstrated ability to work independently and collaboratively within a multidisciplinary team. Robust time management and organizational skills, with the ability to prioritize tasks in a fast‑paced, high‑volume workplace. As applicable by zone (rural): Must be comfortable and confident working in a virtual environment and with remote collaboration tools.Preferred Qualifications:Experience with Alberta Netcare, Connect Care, Rightfax and Genesys is an asset. Recent experience in a central intake setting, and/or referral processing. Comfort using multiple software platforms simultaneously.
