The Payroll Specialist is responsible for end-to-end payroll processing for Canadian and American employees using UKG Pro, ensuring accuracy, compliance and timeliness. Responsible for multiple payrolls, tax filings, audits, benefit deductions and reporting. Provides reports to Finance to release accurate payments to fund payroll and maintain accurate journal entries. Administers the Company’s pension and 401K retirement plans, including remittance payments and annual reconciliations and government reporting. Completes all monthly, quarterly and year-end payroll tax remittances, including Employer Health Tax, Workers Compensation and CRA, and generates ROEs, T-4s Releve 1s and W-2s. Supports employees on UKG platform to access, input and approve timecards and other processes.

About the Role

Major Responsibilities

- Payroll: Processes multiple payrolls across multiple jurisdictions, ensuring accuracy, integrity, confidentiality and compliance with local, state, provincial and federal laws. Reviews timecards for calculating, coding, or other errors. Calculates and processes required withholdings, deductions, and pension/401k contributions, etc. Reconciles payroll deposits, tax withholdings, wage garnishments and voluntary deductions. Handles year-end pay cycle (T-4s, Releve 1s, W-2s) and new year set up,



including updating rates on taxable benefits. Streamlines processes and makes recommendations for improvements. Handles remittance and provides documentation to Finance, as needed.
- Benefits and Retirement Plans: Ensures accurate entries and deductions are set up in UKG by paygroup and updated annually with new rates. Monitors various benefit and retirement savings plans for accurate billing, and payments to providers.
- HRIS and Employee Records: Ensures new hire information transmits from onboarding and recruitment portal with accurate banking and other details for smooth onboarding and pay for new hires. Coordinates post probation and step increases process for plant workers, preparing letters for Plant Manager approval.
- Reconciliation & Reporting: Generates payroll reports and analytics for management and audits. Provides timely reports to Finance for journal entries and overtime reporting. Completes monthly workers compensation reconciliations. Completes annual Pension and 401k compliance testing and reporting.
- Time Clock Administration: Sets up, configures and troubleshoots UKG time clock and facial recognition camera. Sets up current hires on the time clock.
