We’re partnering with a healthcare advertising agency to hire a highly organized Freelance Creative Resource Manager to support day-to-day scheduling and resource allocation across its growing creative team. The initial focus will be onboarding and cross-training to provide coverage during PTO and extended absences, with the potential to evolve into an ongoing part-time role as the business grows.

What You’ll Do

- Maintain accurate and up-to-date resource schedules within Smartsheet
- Assign team members to projects based on established resourcing plans
- Manage daily and weekly scheduling changes across creative, editorial, QA, and development teams
- Coordinate staffing for copywriters, designers, art directors, editors, banner developers, and QA professionals
- Track team availability, vacation, leave, and day-to-day workloads
- Monitor utilization and flag potential scheduling conflicts, capacity issues, or over- and under-utilization
- Serve as the day-to-day operational point of contact for resource and scheduling needs
- Escalate significant conflicts or capacity concerns to the lead Resource Manager
- Support workload forecasting and team-capacity planning
- Provide seamless coverage during Resource Manager absences




- Partner with department leads to ensure projects are appropriately staffed

Qualifications

- Previous resource management experience within an advertising or creative agency is required
- Experience managing schedules, staffing assignments, workloads, and team capacity
- Robust organizational, communication, and relationship-management skills
- Ability to manage shifting priorities and make day-to-day scheduling adjustments
- Experience with resource or project management platforms; Smartsheet is strongly preferred
- Healthcare or pharmaceutical advertising experience is a plus but not required
- Must be able to work onsite in Toronto approximately 1–2 days per week
