Who we are The International Alliance of Dermatology Patient Organizations (GlobalSkin) is a global alliance dedicated to improving the lives of people living with skin conditions. We connect and support patient organizations around the world, advancing patient-centered healthcare through research, advocacy, capacity building, and collaboration with healthcare leaders and decision-makers. GlobalSkin supports a global network of patient organizations across more than 86 countries representing over 59 dermatological diseases.

About the role
Reporting to the Director of Operations, the Finance & Grants Administrative Assistant will provide administrative support across finance, grants management, payment tracking, and financial record-keeping activities.
This part-time, permanent role is ideal for someone who enjoys organizing information, maintaining accurate records, managing multiple deadlines, and improving administrative processes. You will work closely with internal staff to ensure financial information is current, documentation is complete, and grant-related activities are effectively tracked and reported.
What you’ll do
Finance Administration and Reporting
- Maintain accurate and up-to-date records of organizational expenditures and financial activity.
- Track expenses against budgets, funding allocations, and project requirements, identifying items requiring follow-up.
- Maintain spreadsheets, trackers, and other financial monitoring tools.
- Collect, organize, and archive invoices, receipts, approvals, and supporting documentation.
- Coordinate with staff and external vendors to ensure payment requests are complete and ready for processing.
- Monitor payment status and maintain financial tracking systems.
- Support monthly financial reporting processes by ensuring information is complete, accurate, and accessible.
- Prepare routine financial summaries and reports for review by the Director of Operations.
- Assist with budget tracking and forecasting activities.
Grants Administration
- Support the administration of organizational grant programs and funding initiatives.
- Track grant applications, approvals, payments, reporting requirements, deadlines, and project milestones.
- Maintain documentation related to grant agreements, applications, reports, approvals, and expenditures.
- Monitor grant compliance requirements and communicate upcoming deadlines to relevant staff.
- Track grant-related revenues and expenses against approved budgets.
- Assist with the preparation of grant status reports and funding summaries.
Credit Card Reconciliation and Records Management
- Collect and organize credit card receipts and supporting documentation.
- Reconcile transactions against organizational records and expense submissions.
- Follow up with staff regarding missing receipts or outstanding documentation.
- Maintain organized records supporting monthly reconciliation and audit requirements.
Operational Support and Continuous Improvement
- Maintain organized electronic financial and grant files.
- Assist with audits and financial reviews by locating and preparing requested documentation.
- Support the Director of Operations with administrative and operational projects.
- Identify opportunities to improve tracking systems, documentation practices, and administrative workflows.
- Contribute to a culture of continuous improvement, accountability, and service excellence across the organization.
What you bring
- Experience in administration, finance administration, grants administration, bookkeeping support, or a related field.
- Strong organizational, planning, and time-management skills.
- Exceptional attention to detail and accuracy.
- Experience working with Microsoft Excel, Google Sheets, and financial tracking tools.
- Ability to manage multiple deadlines and follow through on outstanding items.
- Strong written and verbal communication skills.
- Ability to handle confidential financial and organizational information professionally.
- Experience working independently in a remote work environment.
Experience working in the not-for-profit sector, administering grants or funding programs, supporting donor-funded initiatives and working with international or geographically dispersed teams are considered assets.

The hiring range for the position is $25.00 - $27.50, with an expected work week of 15-20 hours.
