Position Title: Intern, Administrative Support (Ontario Programs)
Part-Time Internship
Location: Ottawa Community Hub, Ottawa, ON
I. Scope & Summary of Primary Responsibilities
Reporting to the Manager, Programs and Community Engagement, this part-time intern position provides administrative and operational support to CNIB's Ontario Programs team. Based out of the Ottawa Community Hub, the role assists staff across Ontario with participant communications, data management, documentation, reporting, and administrative coordination that support the effective delivery of programs and services throughout the province. This position requires strong organizational skills, attention to detail, excellent customer service, sound judgment, and the ability to work collaboratively with staff, volunteers, participants, and community partners.
Through this internship, the successful candidate will gain hands-on experience in non-profit administration, customer service, database management, and program operations while contributing to meaningful work that supports people with sight loss across Ontario.
II. Essential Functions
The position entails, but is not limited to, the following general responsibilities:
Administrative and Operational Support
• Provide administrative support to Ontario Programs staff across multiple regions.
- Assist with scheduling meetings, maintaining calendars, coordinating logistics, and preparing materials.
- Prepare, format, organize, and distribute documents, reports, presentations, and correspondence.
- Support meeting administration, including agendas, note-taking, action tracking, and follow-up activities.
- Assist with special projects and operational initiatives as assigned.
- Conduct reminder calls and email communications for CNIB programs, events, and client groups across Ontario.
- Maintain participant attendance records and registration information.
III. Qualifications
Knowledge and Skill Requirements
• Strong organizational and time management skills.
- Excellent interpersonal and customer service skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.
- Strong attention to detail and accuracy.
- Ability to maintain confidential information.
- Ability to work independently and collaboratively within a team environment.
- Experience with Salesforce or another customer relationship management system is considered an asset.
- Demonstrated ability to manage multiple tasks and priorities.
- Commitment to accessibility, diversity, equity, and inclusion.
Experience and Education
• Currently enrolled in, or recently graduated from, a post-secondary program in Business Administration, Office Administration, Social Services, Community Services, Public Administration, or a related field, or an equivalent combination of education and experience.
- Previous administrative, customer service, volunteer, or office experience is considered an asset.
- Experience working in a non-profit environment is an asset.
- Experience using Salesforce or a similar database system is an asset.
Work Environment
• This is a part time position working 14 hours per week.
- The position is based out of the Ottawa Community Hub and provides support to the Ontario Programs team.
- The workplace is primarily office-based, with the possibility of occasional support for community-based activities.
- Flexibility may occasionally be required to support evening or community activities.
- Occasional local or regional travel may be required.
