Company Description Frank Hilbich Architect Inc. is a full-service architectural design and planning firm that guides building projects from initial concept to completion. The firm provides comprehensive design consulting, including needs assessment, functional programming, and site selection, to help owners and developers realize their project vision. Services extend through concept design, municipal approvals, detailed design, and construction documentation.

During construction, the firm represents the owner’s interests while meeting regulatory requirements through design oversight and on-site review of construction progress.

Role Description The Operations Manager is a full-time, on-site role based in Edmonton, AB. This position oversees day-to-day operations of the architectural practice, including workflow planning, resource allocation, and coordination of project schedules and deliverables.

The Operations

Manager supports project teams by optimizing processes for design consulting, documentation, and construction-phase services, while maintaining high standards of quality and compliance.

Responsibilities include managing internal systems, monitoring budgets and performance metrics, facilitating communication between leadership and project staff, and ensuring consistent client service. The role also involves supporting business development activities, refining operational procedures, and contributing to strategic planning for practice growth and efficiency.

Key responsibilities:

- Track project status, schedules, and key deliverables across the firm
- Coordinate and manage client and sub-consultant contracts




- Maintain consistent project file structures and document systems
- Support and validate monthly invoicing based on contract terms and project progress
- Monitor receivables and assist with follow-up
- Contribute to improving operational processes and project tracking systems

Qualifications

- Experience in operations management within an architecture, engineering, or consulting environment, with strong knowledge of project workflows from concept design through construction.
- Proficiency in organizing schedules, coordinating multidisciplinary teams, and managing resources to meet project milestones and client expectations.
- Ability to maintain quality control processes, support compliance with regulatory and municipal requirements, and help standardize templates and documentation practices.
- Robust communication and collaboration skills for working with owners, developers, consultants, and internal staff, including clear reporting to firm leadership.
- Comfort with using office productivity and project management software; familiarity with architectural documentation tools and file management systems is an asset.
- Demonstrated problem-solving skills, attention to detail, and capacity to manage multiple priorities in a fast-paced professional services environment.
- Post-secondary education in architecture, construction management, business administration, or a related field; equivalent experience in a design or consulting practice will be considered.
- Previous experience in Canadian building and planning context, including exposure to permitting and approvals processes in Alberta, is beneficial.
